Hours: 37.5 hours per week Location: Office-based between Bromley and Streatham Working Pattern: First 3 months: Fully onsite After 3 months: 1 day per week working from home The Role: The Executive Assistant (EA) provides high-level, trusted administrative and organisational support to the CEO, enabling the effective and efficient operation of the CEO's office. This role is critical in ensuring priorities are managed, communications are streamlined, and strategic objectives are supported through excellent organisation and follow-through. The EA will manage complex diaries, meetings, travel, documentation, and confidential matters with professionalism, discretion, and sound judgement. The successful candidate will be highly organised, proactive, and comfortable operating in a fast-paced, senior-level environment while maintaining consistently high standards. Key Relationships: Internal: CEO Senior Leadership Team Employees External: Clients and residents Contractors and suppliers Consultants Regulatory bodies and government agencies Responsibilities: 1. Executive & Business Support Provide day-to-day executive support to the CEO, including complex diary management, travel arrangements, correspondence, and meeting coordination. Prepare reports, presentations, briefings, and agendas to executive standard. Act as a gatekeeper for the CEO, prioritising communications and handling urgent matters appropriately. Ensure continuity of administrative support during CEO absences. Support members of the Senior Leadership Team as required and approved by the CEO. 2. Meetings, Governance & Stakeholder Liaison Coordinate Board and senior leadership meetings, including agenda preparation, board packs, minute-taking, and action tracking. Liaise professionally with internal and external stakeholders, acting as a first point of contact. Support governance processes, including document control, policy coordination, and registers. Assist with planning and coordination of forums, cross-agency meetings, and external initiatives. 3. Administrative & Office Management Maintain accurate, confidential records and well-organised digital filing systems. Manage tasks and action tracking using Asana (or similar tools), proactively following up on deadlines. Coordinate meeting logistics, room bookings, equipment, refreshments, and office supplies. Raise purchase orders, process invoices, and support expense tracking and reconciliations. Liaise with suppliers and service providers to ensure smooth delivery. 4. Project & Reporting Support Provide administrative support to organisational projects, ensuring tasks are tracked and completed on time. Assist with collecting, organising, and formatting KPI and performance data. Conduct basic research and prepare clear summaries or briefing notes for the CEO. Support continuous improvement of administrative systems and workflows. 5. Personal & Lifestyle Support Assist with personal travel, appointments, purchases, and lifestyle arrangements with discretion. Support charitable initiatives and community-focused activities. Plan and coordinate personal and family events as required. Manage personal procurement tasks such as gift purchasing and correspondence. 6. Professional Standards & Best Practice Maintain strict confidentiality at all times. Ensure all written and digital outputs meet high professional and quality standards. Communicate clearly and professionally, responding to emails and calls promptly. Work flexibly, proactively, and collaboratively across multiple priorities. Uphold a clean-desk, paperless, and well-organised working environment.
