As an Executive Assistant, you will serve as a trusted partner to senior leaders, managing schedules, communications, travel, and key initiatives. You’ll also play a central role in planning, coordinating, and executing company events, offsites, and executive-level meetings, ensuring every detail is handled with precision and professionalism.
About the Role
* Manage complex calendars for executives, including scheduling meetings, prioritizing time, and resolving conflicts across time zones
* Coordinate internal and external meetings, including logistics, materials, and attendee communication
* Plan and execute company events, leadership offsites, team gatherings, and internal functions, partnering with Marketing, HR, and leadership
* Own event logistics end-to-end, including venue sourcing, vendor coordination, catering, travel arrangements, and on-site execution
* Support board meetings and executive-level events, including preparation of materials and coordination of attendees
* Arrange detailed domestic and international travel, including itineraries, accommodations, and transportation
* Act as a liaison between executives and internal/external stakeholders with a high level of professionalism
* Anticipate executive needs and proactively solve problems in a fast-moving environment
* Assist in preparing presentations, reports, and meeting materials
* Manage expense reporting in accordance with company policies
* Track and follow up on key action items, emails, and priorities on behalf of executives
* Coordinate office logistics, meeting spaces, and catering for in-office events and meetings
* Support ad hoc projects and company initiatives as needed
* Maintain strict confidentiality when handling sensitive information
About You
* 3–5+ years of experience supporting senior executives in a fast-paced, high-growth environment (SaaS or tech preferred)
* Strong experience planning and executing events, offsites, or corporate functions
* Exceptional organizational and time management skills with the ability to juggle multiple priorities
* High attention to detail and commitment to delivering high-quality work
* Strong written and verbal communication skills
* Ability to remain flexible, adaptable, and calm under pressure
* Demonstrated ability to handle confidential information with discretion
* Proficiency in Microsoft Office (especially Outlook); experience with expense tools like Concur is a plus
* Comfortable working with senior leaders and cross-functional teams
* Proactive, solutions-oriented mindset with a willingness to take ownership
* Positive, collaborative, and service-oriented approach
This is a remote position, with infrequent travel required across the United Kingdom to attend key trade shows and internal company meetings. This post is open to residents of the United Kingdom only.
