As an AdministrativeAssistant, you will join a dynamic team of part-time administrationstaff in a friendly office environment. This role is pivotal insupporting daily administrative operations and facilitatingeffective communication both internally andexternally.
KeyResponsibilities:
-Conduct audio typing efficiently, supplemented by company-specifictraining.
- Manageincoming phone calls, take accurate messages, and redirect them tothe appropriate colleague or address them asnecessary.
- Monitorinternet enquiries and emails, forwarding them to the relevantcolleague or handling them asrequired.
- Handle paperand online filing tasks, including scanning, saving, updating, andorganising files.
-Assist in compiling quotes and attachments for distribution toclients.
- Updatecompany documents asrequested.
- Completedeposit invoices and receipts asrequested.
- Schedulesurveys for company surveyors asneeded.
- Processpayment details over the phone, including completing transactionson the card machine and associateddocumentation.
-Familiarise with Guarantee processes anddocumentation.
-Occasionally take minutes during internalmeetings.
- Assist inorganising accommodation for site staff working away from home onoccasion.
- Undertakeany necessary training, including CRMsystems.
- Provideoffice cover for the Administration Team during periods of absence(e.g., holidays,illness).
- Undertakeadditional duties within your capabilities as required by theemployer.
- Activelyseek opportunities to improve business outcomes and enhance clientsatisfaction.
Qualifications andSkills:
- Previousexperience in administrative roles, preferably in a similarindustry.
- Proficiencyin audio typing and general officesoftware.
- Strongcommunication skills, both verbal andwritten.
- Excellentorganisational abilities with keen attention todetail.
- Ability tomultitask and prioritise taskseffectively.
