Role Purpose To run the day-to-day operations of the office, ensuring the business is organised, compliant and well-supported across administration, finance, HR, health & safety and project documentation. The Office Manager is the operational backbone of the business keeping ISO-accredited systems, supplier records and project paperwork in good order, and acting as the central point of contact for clients, subcontractors and the internal team. Key Responsibilities Office & Operations Run the smooth day-to-day operation of the office, with light support to the Exeter office. First point of contact for incoming calls, visitors, suppliers and client enquiries. Manage office supplies, equipment, IT liaison, facilities and general housekeeping. Maintain digital filing systems and document control across project, supplier and HR files. Finance & Administration Process purchase orders, supplier invoices and subcontractor applications for payment. Reconcile receipts, manage petty cash and prepare information for the external accountant. Support credit control raising sales invoices, chasing aged debt and maintaining ledgers. Prepare weekly/monthly reports for directors (cashflow, project costs, supplier spend). Compliance & Document Control Maintain ISO-driven processes and supporting documentation. Manage subcontractor onboarding: insurance certificates, RAMS, qualifications, CIS verification. Keep company accreditations, insurances and renewals current and audit-ready. Support Health & Safety administration RAMS distribution, training records, site documentation. HR & People Admin Maintain employee records: contracts, right-to-work, holidays, sickness, training. Support onboarding/offboarding processes and liaise with external HR/payroll providers. Coordinate training bookings (CSCS, SMSTS, First Aid, etc.). Project Support Set up and maintain project files for new contracts. Liaise with site managers, architects, clients and subcontractors on project documentation. Support tender submissions and framework documentation for public sector work. Marketing & Communications (light touch) Coordinate with marketing/social media support on case studies, posts and project updates. Maintain CRM/contact records and client communication logs. Person Specification Essential Proven Office Manager / Senior Administrator experience in a construction environment Construction, trades or built-environment background strongly preferred familiarity with subcontractors, RAMS, CIS and project paperwork. Highly organised with strong attention to detail and a process mindset. Confident with bookkeeping fundamentals (Xero, Sage or QuickBooks). Strong written and verbal communication comfortable dealing with clients, contractors and directors. Proficient with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint). Self-starter who can run the office independently and prioritise across competing demands. Full UK driving licence and access to own vehicle (occasional travel between Tiverton and Exeter). Eligible to work in the UK. Desirable Experience in a business with ISO 9001/14001/45001 accreditation. Familiarity with CIS, IR35, AWR or other construction compliance frameworks. HR admin or CIPD Level 3 background. Experience supporting tenders, framework agreements or public sector contract administration. Health & Safety awareness (IOSH Working Safely or similar).
