Scope of the role This is a pivotal position within the Manchester studio as you will provide administrative support to our directors and leadership team, extend warmth and hospitality to all our visitors and assist with supporting our Manchester studio requirements. No two days are the same; you must have an ability to anticipate needs, operate proactively and be able to prioritise tasks. Responsibilities The following roles and responsibilities are studio based: To meet and greet visitors, extending the warmest welcome To manage key office supplies, such as stationery and kitchen goods To ensure all meeting rooms are properly set up and have the technology in place where required, liaising with the meeting holder and other key parties To oversee any central studio facilities, such as kitchen equipment, utilities, plants and cleaners Manage food and drink requirements (for meetings and regular studio requirements) Ensure a clean and organised studio environment is maintained to promote an efficient working practice Assistance with co-ordinating of studio events/ internal social events by booking and coordinating meeting rooms Printing, scanning and document control Monitoring studio fobs/ allocation & distribution To answer the telephone, field calls, take messages and pick up any overflow calls Record project related timesheets Record expenses and account for credit card spending Arranging travel and booking accommodation on Trainline and Roomex Calendar and diary management Updating our client contacts on Creatio. Attend workshops and webinars to enhance knowledge and network Experience/Qualifications Required: Experience of working In an office environment Maths and English GCSE or equivalent. 2 years experience in a similar/ administrative role Experience of customer/ client facing role To be computer literate, including MS Office, Excel and Outlook Professional but friendly telephone manner.
