Overview
Dental Receptionist Apprenticeship (Customer Service) – Middlesbrough. This role involves serving as the first point of contact for patients and visitors, upholding professional appearance and customer care, and setting a positive tone for the practice visit.
Responsibilities
* Ensure the patient journey is adhered to at all times, including exterior and interior of the building.
* Greet and assist patients in person or by phone, identify the purpose of their visit, and communicate waiting times in a courteous and professional manner.
* Acknowledge and welcome visitors and contractors; ensure the visitors book is signed.
* Book and amend appointments; answer the phone; update patient records; manage emails and correspondence.
* Answer the telephone promptly and manage voicemail messages as required.
* Check and respond to messages from the telephone, emails, and other channels; maintain patient confidentiality and accuracy of information on the electronic database.
* Schedule next appointments before patients leave; contact patients regarding upcoming appointments and reminders; keep appointment books efficient and full where possible.
* Record and file treatment plans, medical histories, and PR forms; ensure appropriate signatures and consent are obtained.
* Provide information on dental services and products offered; build positive relationships with clinical and practice teams.
* Collaborate with the practice team; be flexible to work at other practice locations as required.

Administration
* Keep reception and waiting areas clean and organized.
* Record lab work and manage recalls; send out “Failed to attend” letters promptly.
* Manage stock, arrange supplies, and control reception logistics.
* Complete NHS and private patient forms; file and secure patient records properly.
* Print day sheets, prepare record cards, and ensure toilets are clean and stocked for the day.
* Log out of systems when leaving the reception desk; attend and participate in practice meetings.

Training
On completion of this 12-month apprenticeship you will gain the Customer Service Practitioner Level 2 Apprenticeship.
