Role Overview
The Document Controller will be responsible for managing, tracking, and distributing all project documentation within the business, ensuring accuracy, quality, and compliance with company procedures and client requirements. The role supports project teams, site staff, and senior management by maintaining an efficient document management system that ensures timely access to technical drawings, contracts, specifications, and records.
Key Responsibilities
* Establish and maintain document control processes and procedures across all projects.
* Manage incoming and outgoing documentation (drawings, specifications, RFIs, submittals, O&M manuals, etc.) in line with project and company requirements.
* Maintain document registers and ensure up-to-date records are accessible to project teams and stakeholders.
* Check documentation for accuracy, completeness, and correct formatting prior to distribution.
* Upload, distribute, and track documents via project collaboration platforms (e.g., Aconex, Asite, Viewpoint, BIM 360, SharePoint, etc.).
* Support engineers and project managers with submission and approval processes.
* Ensure version control of documents is strictly maintained, preventing use of superseded information.
* Prepare and compile Operation & Maintenance (O&M) manuals, Health & Safety files, and project handover documentation.
* Ensure compliance with ISO standards, company quality procedures, and client requirements.
* Assist in audits and support continuous improvement of document management practices.
Skills & Competencies
* Strong attention to detail and high level of accuracy.
* Excellent organisational and time management skills.
* Good communication skills (written and verbal).
* Ability to manage multiple priorities across different projects.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Experience with electronic document management systems (EDMS) and project collaboration platforms is preferable but not essential
Qualifications & Experience
* Previous experience in document control within a construction, engineering, or M&E contracting environment.
* Knowledge of ISO 9001 quality management systems and document management best practice.
* Experience preparing O&M manuals and handover documentation.
* Minimum GCSEs (or equivalent); further qualifications in administration, construction, or engineering are an advantage.

Pay: £30,000.00-£35,000.00 per year
