* Diary management and arrangement of appointments/meetings both internally/externally for COO and senior operational leadership team.
* Taking and distributing meeting minutes and action summaries and reports for committee and departmental meetings.
* Making arrangements for visitors to site, including room bookings/catering requests.
* Administrative support for recruitment activities.
* Organisation of Team events/meetings for the Operations team.
* Co-ordination of team inductions for new starters/visitors.
* Arranging visas and booking travel both nationally and internationally.
* Submitting and/or approving expenses claims for science and operations teams.
* Keeping the on-site rota up to date with staff changes.
* Support for onsite events/meetings – ensuring meeting rooms are set up/booking visitors in with reception etc.
* Ad-hoc administrative assistance.
* Willingness to undertake additional duties as required.
What you will need to succeed in this role:
* Confident in building good working relationships with individuals at all levels, including senior teams, board members, leading industry figures.
* Commitment to delivering high level of service.
* Strong technology skills to manage work (Excel, Word, PowerPoint).
* Ability to manage multiple tasks and commitments well and successfully meet deadlines.
* Confidential – managing sensitive data appropriately.
* Good Sense of humour and work well in a small team.
