The Personnel Co-ordinator is responsible for all travel and logistics ensuring the management and planning of a properly resourced and competent pool of field staff. This position will also provide administration support to the local Operations Team.
Duties and Responsibilities:
Supports the Operations team to ensure personnel skillsets of offshore personnel are in line with project notification and work scopes;
Ensures route and carrier options are most appropriate based on project needs and employees departure points, acting as a point of escalation for any regional issues;
Researches alternate options when preferred travel is not available;
Responsible for all data inputs into OBT, personnel folders, ensuring that personnel are in possession of the necessary current certification required for their discipline/position and updated certificates are uploaded to OBT
QC of regional travel logs to ensure accuracy;
Responsible for the review of travel providers invoice to ensure accuracy, correct project codes are referenced and invoices are presented with supporting documents;
Works directly with accounts payable and cost controller to ensure purchase orders and accounts are in order, raising any issues to Operations Resource Manager;
Identify, recommend and implement system or procedural improvements;
Provide administrative support to Operations Team including, but not limited to, general clerical and project-based work
Assist existing operations staff with the tracking and execution of all purchase orders, and invoices;
Have a good knowledge of the core competencies required for offshore disciplines in the field pool;
Work closely with business unit teams to deliver personnel to the vessels in a timely manner.
Liaise with Personnel Coordinators and crewing teams globally to ensure effective and timely sharing of personnel between regions
Will support the relevant project manager regarding visa requirements based on project location, gathering required documentation from the offshore teams, supporting the visa processes from start to finish enabling offshore personnel to operate internationally.
Requirements:
Previous experience within travel coordination role is essential
An understanding of the processes required to mobilize and travel personnel to international, offshore worksites (ticketing, visa, work permit, inoculations etc.)
Must be team-oriented, possess a positive attitude and work well with others
