Job Overview
A fantastic opportunity has recently arisen within the Bristol Urological Institute. We are advertising for a Patient Pathway Assistant working 32 hours a week in our busy Urology department. The role will support the Patient Pathway Coordinator in managing patient administration, scheduling, and ensuring efficient flow of patients through the service.
Responsibilities
 * Support the Patient Pathway Coordinator in managing inpatient and day‑case waiting lists, coordinating admission and pre‑operative clinics, and theatre lists for Consultant Urologists at Southmead Hospital.
 * Add, remove, and modify patient appointments in line with the Trust’s Patient Access Policy.
 * Book theatre lists and schedule new or follow‑up outpatient appointments, pre‑admission appointments, investigative treatments, and TCI/operation dates.
 * Provide administrative support to consultant and clinical teams and complete clinic letters accurately.
 * Ensure all letters are copied to correct templates and that notes are traced in and out.
 * Handle photo copying, filing, faxing, and other office duties to maintain efficient office operation.
 * Advise patients on admission matters and waiting list status, dealing with enquiries courteously and diplomatically.
 * Process incoming mail, prioritising clinical reports and referrals for the Patient Pathway Coordinator.
 * Maintain patient confidentiality at all times.
 * Liaise with primary, secondary, and tertiary care providers, and with Cancer Services MDT Coordinators to manage patients with suspected or confirmed malignancy.
 * Document patient special needs and comorbidities for communication to relevant wards/departments.
 * Cancel and reschedule appointments as directed by the Patient Pathway Coordinator.
 * Communicate regularly with consultant teams, clinical staff, and management for efficient processes.
 * Provide empathetic assistance to distressed or bereaved patients or relatives.
 * Answer telephone enquiries, taking and relaying messages in a polite and helpful manner.
 * Cover colleagues during annual leave and sickness as required.
 * Undertake additional administrative tasks and responsibilities within the division as required.
 * Adhere to all Trust policies, including Infection Control, Hygiene Code, Data Protection Act, Uniform Policy, and fair access to services.
Person Specification
Essential Criteria
 * GSCE in Maths and English (level 2)
 * Prioritise own workload and meet tight deadlines (level 2)
 * Good organisational skills (level 2)
 * Ability to follow procedures (level 2)
 * Strong written and verbal communication skills (level 2)
Desirable Criteria
 * NHS experience and patient pathway knowledge (level 4)
 * Experience with PAS system (level 2)
Success of the applicant will normally commence at the minimum of the scale unless they have previous NHS service at the same band. Progression through the scale is by annual increments.
