Job Ref: 25/RP/08 | Job Title: Administrative Assistant | Department: Strategic Planning and Performance | Reports to: Strategic Planning and Performance Manager | Responsible to: Lead Officer / Head of Service | Location: The Grange, Omagh. The postholder will work across the Fermanagh and Omagh District Council area to meet the needs of the post. Duration: Permanent | Hours: Part-Time; 22.2 hours/week (schedule to be agreed upon appointment) | Salary: Scale 4; SCP 9-13; £26,409 - £28,163 per annum pro rata.
A reserve list may be created from this recruitment, from which appointments may be made within 6 months across all service areas.
Key Duties
* Support the service with administrative tasks including reports, correspondence, enquiries, filing, and data processing.
* Manage correspondence, incoming calls, emails, and inquiries related to departmental work.
* Assist with reports or projects as directed.
* Liaise with other departments to ensure efficient administrative and financial processes.
* Organize meetings and events, including scheduling, invitations, venue booking, and catering.
* Attend meetings, prepare agendas, take minutes, and produce records within timelines. Attendance may be required at venues in Fermanagh & Omagh, with some evening hours.
* Ensure compliance with procurement procedures, invoice checking, and account processing.
* Provide research and administrative support for programs and projects.
* Utilize IT for document production, research, and data management.
* Assist in developing management information systems and ensure accurate data recording.
* Provide customer support and assist with reception duties as needed.
Other Responsibilities
* Ensure compliance with Health and Safety legislation and policies.
* Adhere to all Council policies, including the Employee Code of Conduct and Working Relationships Protocol.
* Maintain records in accordance with legal requirements and confidentiality policies.

* Perform duties in a manner that promotes the positive image of Fermanagh and Omagh District Council.
