Background

The Operations Coordinator is a key role within the School of Computer Science, supporting the day‑to‑day operational running of the School. The post holder will have specific responsibilities around human resource processes, finance administrative systems, internal and external communications, and Head of School PA support.


Key duties

* Oversight and/or support across a number of HR /staffing processes such as recruitment and induction, probation, Academic Development Programme (ADP), Promotion and Performance Development Review (PDR).
* Coordinating meetings and ensuring records are maintained.
* Support with collating and updating the Workload Allocation Model (WAM) for the School.
* Processing and maintaining records for Honorary Staff, including requests for Contingent workers.
* Within internal communications, develop and implement a communications plan, maintain the School mailing lists, act as key contact for establishing the School intranet, and maintain the Staff Handbook in MS SharePoint.
* Executive PA support to Head of School.


Role Summary

As an Operations Coordinator within a team/department you will provide support for a broad range of administrative duties, some of which may be complex. You may also be responsible for managing other staff or for supporting colleagues and sharing knowledge.


Detailed responsibilities

* Undertake complex diary management and meeting planning, usually 6–12 months ahead.
* Deal with complex systems and procedures, offering advice and resolving queries.
* Exercise judgment on responses to queries and direction of work within parameters set by management.
* If in a supervisory role, line‑manage staff and coordinate the work of others; if not, act as a role model and coach.
* Maintain high‑profile relationships with key stakeholders.
* Organise events such as School Forums, conferences and Away Days.
* Manage smaller projects, conduct desk research, source data from internal and external sources.
* Use complex university systems to analyse and interpret data, produce bespoke reports.
* Support the management, development and implementation of operational processes and systems.
* Process complex data (financial, HR, student‑related), monitor accuracy, resolve issues.
* Provide specialist advice and training to colleagues.
* Provide a professional secretarial service to relevant committees and meetings.
* Responsible for budgeting, procurement, communications content, health & safety, HR tasks, international visit arrangements and compliance monitoring.
* Support equality and values diversity, moderating own behaviour to avoid discriminatory impact.


Required knowledge, skills, qualifications, experience

* Educated to A Level standard or equivalent, e.g., Level 3 NVQ, national diploma.
* Minimum of grade C/4 in Mathematics and English at GCSE or equivalent.
* Highly proficient IT skills, including complex diaries, MS Office (Excel, PowerPoint), and experience of an enterprise resource planning package.
* Proven ability to plan ahead, anticipate requirements, manage workloads effectively.
* Excellent communication skills for different audiences and deadlines.
* Excellent interpersonal skills, confidence, authority, and customer service.
* High degree of professionalism, tact, diplomacy, discretion with sensitive information.
* Initiative, personal judgment, resourcefulness, flexibility, self‑motivating approach.
* Ability to work effectively in a large, complex organisation.
* Understanding of policy and procedures.
* Commitment to equality and diversity, ability to identify and respond to related issues.
