OPERATIONS & ADMINISTRATIVE ASSISTANT
We are looking for an energetic, well organised and hands on Operations & Administrative Assistant, who is looking to grow, learn new skills and develop. Based at our busy recycling facility Site in Sharnbrook Bedfordshire and working closely with the Site Manager and Director on various Operational Tasks & Projects for the organization,
Permanent, Full-Time, between £19,000 to £21,000 Per Annum for the right candidate, working from 8.00am and until 5.00pm Monday to Friday.
The Operations & Administration Assistant is a newly created role designed to facilitate the smooth running of all company operations. This role is varied, and includes many and diverse responsibilities.
General Duties
·Office Management Duties such as Answering Phones, Diary Management and
·Photocopying, scanning, electronic filing and posting of all required paperwork.
·Operation of Weighbridge and documentation for deliveries in and out
·Maintaining a Task List and operations trackers
·Liaising with both Internal and External Teams in the Organisation to ensure that all queries are addressed promptly
·Obtaining timely reports and expediting for the same where delays occurring
·Obtaining timely Task Lists from other Managers / Associates
·Tracking progress and ensuring all team members are on track with their tasks
·Gathering information from Operations and Site Managers as directed
·Adhoc administration duties as required, to meet the needs of the business
·Ensure full compliance with Company Health, Safety, Security and Environmental standards
·Organising and filling all checks, sheets, training records
·Filling and completing daily reports
·Doing team meetings and team briefs and taking notes and minutes.
·Holiday cover within the team as required and directed.
Data Recording & Management
·Data Entry Responsibilities relevant to Operations / Stock / Production
·Input and Transfer of Information into Internal Databases and Excel Model(s)
·Compilation of reports and assurance of their accuracy
·Timely procurement of Production Reports, site reports, Capturing Data,
Projects Related Duties
·Keep record about each project's status within the operations department and communicate issues identified to your manager
·Liaise with other departments and vendors to obtain and update project information or materials.
·Coordinate project and operations audits, inventories, and shipments.
·Schedule, track, and provide support materials for meetings and project events.
Skills and Experience (Essential)
·Previous experience of working in an office and fast pace environment
·Good organisational skills; able to prioritise workloads and meet deadlines and targets where appropriate
·Self-Starter, Meticulous and Ability to Multi-Task
·Good English, both Verbal and Written
·Positive attitude, willing to work flexibly to meet needs of the business
·Excellent communication skills and ability to engage with Stakeholders at all levels
·Professional and calm approach when handling difficult situations
·Ability to work as part of a team and unaccompanied
·Knowledge of MS Excel – [
·Knowledge of MS Outlook and MS Word
·High and Demonstrated Levels of Accuracy
·Promote a responsible and professional image at all times
·Ability to work without instruction, using good judgement to escalate / delegate where required
·Experience of working in an Operational production, Environment
·Experience of working on SAP – (Desirable not Essential)
