Purpose of the Role: The Market Management Assistants will:
provide high quality and comprehensive technical and administrative support to the Market Management Service in relation to any of the functions undertaken.
help manage and monitor procurement, voids and repairs in accordance with the KPIs set for the service.
collate and analyse performance information and ensure accuracy and robust reporting data for management and performance monitoring.
ensure all enquiries into the team are dealt with timely and confidently and to have a full understanding of the purpose and work of all areas within the service.
provide an effective, efficient and customer focussed service in line with the Corporate Policies and within national and local legislative requirements.
provide high level quality and comprehensive finance support services across the Market Management Service
accurately and promptly enter accurate data into systems
Key Accountabilities: Monitor and track void properties through the process and produce statistics and reports in accordance with the PIs. Ensure the keys to all void properties are monitored and available for use in accordance with the process.
Monitor the progress of day-to-day repairs carried out by the Councils repairs team and private landlords to ensure satisfactory completion within timescales in accordance with the Councils procedures.
Liaise with the Councils Compliance team to ensure that the annual gas inspections are carried out within specified timescales and, if required, arrange access to properties.If necessary, liaise with the Legal team to ensure access to properties is provided.
Monitor and manage progress of dealing with complaints to ensure that complaints are responded within target times.
Monitor the Market Management inboxes and action complaints, members enquiries, contractor enquiries and other urgent requests on behalf of the team.
Organise and a ttend team meetings and other project working groups, taking notes and producing written records.
Job Specifics Skills, Experience
1. Good all-round level of education with high levels of literacy and numeracy.
2. Excellent communications skills both verbal and written to various stakeholders within the public and private sector.
3. Experience of managing information and maintaining accurate, robust and accessible IT based records.
4. Good level of skills and experience in Information Technology including developing and maintaining bespoke software repairs & maintenance packages (ie: Northgate or similar), Word and Excel packages, developing and maintaining spreadsheets for processing large amounts of data/reports and power point presentations.
5. Commitment to work with office management systems and following and updating procedures ensuring that information is accurate, accessible, consistent and up to date
