Job Overview

This is a fantastic opportunity to come and join a dynamic and friendly team delivering exciting things for the Bristol NHS Group The Clinical Services Transformation Team (CSTT) has been established to support the delivery of the Group's Joint Clinical Strategy (JCS). The aims of the JCS are to deliver care that is seamless, high quality, equitable and sustainable across the Group and for the populations it serves. The CSTT provides the change and programme management support required for the implementation of the JCS.

A key element of the Joint Clinical Strategy is the development of Group Clinical Services, bringing duplicated services across the two Trusts to work in a collaborative way across the Group. The CSTT has responsibility for overseeing the deployment of the Group Clinical Services transformation programme.

The main purpose of this role is to provide a comprehensive programme support service to the Group Clinical Services Programme and the team delivering it, the CSTT. This will include supporting the delivery of the programme through reporting and governance, co-ordinating resources, administrating key processes within the programme and supporting the team with diary management.

We are looking for a driven, friendly and professional candidate with an exceptional range of administrative and programme support skills to join our team.

Interviews are provisionally planned for Wednesday 11th March 2026.

Main duties of the job

To work with the Head of Programmes to design and establish effective administrative systems and processes to ensure the effective delivery of the Clinical Services Transformation Team (CSTT) objectives.

To ensure overall smooth administration, processes and running of the CSTT and Group Clinical Services (GCS) Transformation Programme, providing proactive and responsive professional support. This post has clearly defined workloads that are managed by the individual and not supervised.

To organise and facilitate the function of the CSTT and Group Clinical Services (GCS) Transformation Programme, including maintaining the team SharePoint and administrating meetings and forums led or chaired by the CSTT team.

To provide an efficient personal assistant and secretarial service to the CSTT, including the Head of Programmes and Programme Managers, maintaining a high professional standard at all times.

To provide management assistance on improvement projects, including design of engaging presentations and reports.

Managing the CSTT inbox, reading and actioning emails on behalf of the team as needed

Act as an ambassador for the CSTT, with an active interest in improvement, collaboration and culture change.

Essential criteria

Experience working as a senior Personal/Management Assistant
Experience of working in senior team environment supporting individual projects and administration
Knowledge of a full range of administrative and organisational policies and procedures
A pride in the quality and accuracy of work and attention to detail
Ability to quickly understand complex concepts and prioritise accordingly
Significant Microsoft Office 365 skills or evidence of training in MS Office applications including the reconfiguration of spreadsheets and design of PowerPoint presentations
Excellent communication and interpersonal skills in order to build and maintain positive working relationships with internal colleagues & external clients
Proven ability to meet deadlines and work under pressure with skills relating to prioritisation, delegation and time management
Ability to communicate effectively and appropriately both written and verbally with a wide range of people within and outside the Trust
Good standard of education to degree level or equivalent
Evidence of commitment to continuing personal development
Trained in/possesses a MS office competency certificate or can demonstrate equivalent level of experience and practical application

Desirable criteria

Worked in a PMO or portfolio office, experience of administrating projects and programmes
PA/Secretarial Administrative Diploma or equivalent
