Overview
Applications are invited from suitably qualified and experienced admin candidates to join our busy administration team. We currently have a vacancy for a full time Band 3 Administration Officer. This is a very busy service and the successful post holder will be a member of the admin team to support the multi-disciplinary clinical team to provide a comprehensive, high quality administrative service at all times. The post holder must facilitate excellent customer service and be confident in dealing with service users face to face as well as on the telephone. You will undertake a variety of admin duties as assigned by the PWC/Administration Manager/Team Manager.
Role summary: The post holder will perform a range of clerical and administrative duties to support the clinical team and ensure efficient operation of the service.
Responsibilities
* Demonstrate proven recent 12 month experience in administration skills required for this post.
* Provide customer/patient focused administrative support in a busy environment.
* Handle secretarial tasks, including diary management and minute taking.
* Maintain data entry into database systems with accuracy and confidentiality.
* Use Microsoft Word/Excel/Office packages and general clerical duties.
* Communicate effectively, both verbally and in writing, with service users and colleagues.
* Be self-directed, motivated and contribute positively within a team.
* Maintain a well organised and structured approach and be flexible to meet service needs.
* Participate in relevant training and handle potential exposure to distressing or emotional circumstances.
Qualifications and Skills
* Essential: NVQ Level 3 or QCF Level 3 in Business Administration (or equivalent); Audio Typing qualification or demonstrable equivalent; General level of education to O-Level/GCSE or equivalent.
* Desirable: NVQ Level 3 in Customer Care (or equivalent).
* Excellent communication and interpersonal skills; Minute-taking; Good organisational and planning abilities.
* Knowledge of NHS policies and procedures; Working knowledge of Microsoft applications; Ability to maintain Patient Information Systems (e.g. RiO); Uphold confidentiality; Prioritise workload.
Experience
* Knowledge of NHS Policies and Procedures; previous secretarial/clerical experience; experience in processing CPA, Mental Health Act and Safeguarding documentation (desirable).
Role/Team requirements
* Flexible attitude to cope with fluctuating workloads; occasional coverage for other areas in case of staff absence.
* Must be able to meet mobility requirements of the post to provide cover as agreed.
Additional Requirements
* Disclosure and Barring Service (DBS) check is required; post subject to Rehabilitation of Offenders Act 1974 (Exceptions Order) 1975 and a DBS submission may be needed.
