Job Summary

We are looking for a welcoming and efficient Administrator/Receptionist to join our practice team. As part of our ‘front of house’ team you must have a passion for people and delivering great service to our patients. Your role is the first point of contact, managing phone calls, scheduling appointments and assisting with a range of administrative tasks to ensure a smooth and positive experience for everyone who visits.


Key Responsibilities

* Greet patients politely and ensure the appointment system is run efficiently.
* Inform patients of any appointment delays and advise on relevant charges for non‑NHS services, accepting payment and issuing receipts in accordance with our policy.
* Register new patients and book NHS health‑checks when required.
* Respond to all patient queries and requests for assistance, ensuring visitors are signed in and informed of fire and health & safety requirements.
* Handle complaints appropriately and seek advice to achieve a positive resolution.
* Offer additional patient services as directed by the Practice Management Team.
* Know the location of emergency equipment and drugs in the building.
* Keep all patient noticeboards and communication up to date.
* Maintain ready access to all documents and supplies needed to run the practice effectively at the start of your shift.


Appointment Management

* Use the EMIS system to book appointments and understand clinic times, appointment durations and clinician availability.
* Triage each patient to offer the best care solution.
* Navigate patients to pharmacy and community services as needed.
* Review and follow up on system messages that prompt additional services.
* Allocate sufficient appointments for NHS 111 scenarios and telephone consultations.


Prescription Management

* Handle prescription requests in line with practice policy.
* Generate electronic and repeat prescriptions, meeting operating deadlines.
* Check prescriptions for collection and follow up appropriately.


General Administration

* Record all patient interactions accurately in the electronic file.
* Keep paper records tidy, accurate and easily retrievable.
* Scan clinical documents, ensuring correct matching to patient records.
* Store and handle scanned letters and confidential documentation for destruction.
* Retrieve and file documentation as required by the Management Team.
* Action internal emails, letters and other documents within practice guidelines.
* Open and close the practice, maintain fire exits, carry out health & safety checks and record fridge temperatures.
* Keep consultation rooms stocked with essential supplies.


Additional Responsibilities

* Open and lock up the practice as required, ensuring all fire exits are maintained.
* Record daily health & safety checks.
* Record daily fridge temperatures.
* Ensure all consultation rooms are correctly stocked with essential supplies.


Experience and Qualifications

Essential:

* GCSE grade A to C in English and Maths.

Desirable:

* Experience of working in a primary care setting.
* Experience of working in a GP practice.
