Project Support Worker
Role Purpose
The Social Prescribing Link Worker, Volunteering for Health and Small Grants Project Support role is central to ensuring the smooth delivery, administration, and promotion of three integral organisational projects. The post holder will provide frontline support to service users, manage day-to-day administrative functions, and contribute to community engagement initiatives.
Key Responsibilities
1. Administrative Support
2. Provide comprehensive administrative support across the Social Prescribing and Volunteering for Health projects.
3. Manage incoming and outgoing correspondence, including emails, telephone calls, and written communications, ensuring timely and professional responses.
4. Maintain accurate and up-to-date records through CRM systems, spreadsheets, and databases.
5. Collate and process referrals into the service, ensuring correct documentation and accurate data input.
6. Draft and issue correspondence such as appointment letters, information packs, and follow-up communications.
7. Data Protection and Compliance
8. Uphold all data security standards in line with GDPR and organisational policies.
9. Ensure confidential paperwork is stored securely and electronic records are maintained in accordance with data governance requirements.
10. Promote best practice in information management to safeguard sensitive client and organisational data.
11. Client and Community Engagement
12. Act as a first point of contact for service users and partners, handling enquiries in person, by telephone, and by email.
13. Provide information about the Social Prescribing and Volunteering for Health services, responding sensitively and appropriately to diverse needs.
14. Signpost and refer service users to appropriate partner organisations and community resources to ensure they receive suitable and timely support.
15. Project Delivery and Event Support
16. Assist in planning, organising, and delivering events, workshops, and activities that support project aims and community engagement.
17. Contribute to the promotion of services through outreach, networking, and community-facing activities.
18. Support the monitoring and evaluation of project activities by gathering feedback and assisting in the preparation of reports.
19. Communications and Promotion
20. Support the management of the organisation's social media platforms, ensuring engaging and accessible content is shared in line with communication strategies.
21. Contribute to the development of promotional materials and campaigns to raise awareness of both projects.
22. Represent the organisation positively at community events, stakeholder meetings, and partnership forums.
Small Grants Programme Support:
1. General Duties
2. Coordinate the end-to-end administration of the organisation's small grants programmes, from promotion and application through to award, monitoring, and closure
· Develop and maintain clear and accessible grant application guidelines, procedures, and documentation.
· Ensure compliance with internal policies, external regulations, and funder requirements at all stages of the grants process.
1. Application support
· Respond promptly and professionally to enquiries from prospective applicants, providing guidance on eligibility, application procedures, and deadlines
· Assist applicants in completing funding requests, ensuring that all documentation is complete, accurate, and submitted on time
· Conduct pre-award assessments to verify applicant eligibility and the suitability of proposed projects for funding
1. Review and Assessment
· Screen and log incoming applications, ensuring that records are meticulously maintained for audit and reporting purposes.
· Organise and participate in the assessment of applications, liaising with internal and external reviewers as needed.
· Ensure fair, consistent, and transparent evaluation of applications according to established criteria.
1. Award Administration
· Prepare award letters, contracts, and payment schedules, ensuring that all terms and conditions are clearly communicated and understood.
· Coordinate the disbursement of grant funds in line with agreed milestones and deliverables.
Monitor progress against deliverables, collecting progress reports, financial accounts, and other required documentation from grant recipients.
Job Type: Part-time
Pay: From £19,656.00 per year
