The Role:
You will play a vital supporting role in the successful migration of data as part of Xeinadin's ongoing systems transformation projects. Working closely with Practice & Change Managers and local office teams, this role focuses on the practical aspects of data cleansing, validation, and coordination prior to practice management system migrations.
This is an administrative, hands-on role suitable for someone with a strong eye for detail, confidence working with spreadsheets and data files, and the interpersonal skills to liaise with multiple offices across the firm. The role reports centrally into the Director – Practice & Change Management, based in Manchester, while being deployed regionally to provide support on the ground.
What You'll Be Doing:
* Engage with multiple regional offices to assess the current state of data within their practice management systems.
* Map data fields, understand data interdependencies, and identify areas requiring data cleansing.
* Provide support with the data cleansing activities (formatting etc).
* Prepare data exports and assist in applying standardised formatting and data validation checks.
* Flag inconsistencies, incomplete records, or potential duplicates to the Practice & Change Manager for resolution.
* Update data tracking logs to reflect cleansing progress and outstanding issues.
* Recommend improvements or standardisation opportunities based on data assessments across offices.
* Ensure consistency of field usage and naming conventions to support firm-wide reporting and compliance.
* Liaise directly with office teams to guide them through basic data cleansing tasks and answer process-related queries.
* Provide administrative support for scheduling local workshops, training sessions, or data review meetings.
* Maintain checklists and documentation to ensure consistency across different offices and regions.
* Assist in the collation and preparation of data files required for upload or migration to new practice management platforms.
* Carry out pre-migration and post-migration checks against control lists to ensure completeness and accuracy.
* Escalate any data-related risks or blockers to the Practice & Change Manager or central project team.
What We're Looking For:
* Previous administrative or data-handling experience, ideally in a professional services environment.
* Strong attention to detail with the ability to follow structured processes and document outcomes.
* Confident using Microsoft Excel and working with data files (e.g., spreadsheets, exports from practice systems).
* Clear and confident communication skills (written and verbal) with the ability to work across both technical and non-technical teams.
* Excellent planning and organisational skills, with a focus on meeting deadlines in a project environment.
* High attention to detail.
* Experience working in a multi-site or regional environment desirable but not essential.
* Working knowledge of Microsoft SharePoint (or similar collaboration tools).
