Job Title: Projects Co‑ordinator
Department: Operations
Reports To: Team Leader
Location: Taffs Well (Office‑based)
Hours: 8:00am - 4:00pm
Salary: £35,000 + Performance Bonus

Purpose of the Role
The Projects Co‑ordinator plays a crucial role in managing the delivery of projects from point of handover through to completion and invoicing. This role supports the sales team by owning the operational delivery process, ensuring projects are planned, communicated, procured, and executed efficiently. You will act as a key link between clients, internal teams, and contractors, maintaining strong communication and project oversight throughout.
Key Responsibilities
1. Project Handover & Initiation
1. Receive and interpret project instructions from the Sales/Contracts team.
2. Conduct thorough handovers, ensuring all project requirements, specifications, and client expectations are clearly understood.
3. Use the project checklist, add details to the Project Tracker, and upload fully marked‑up drawings to FIELDWIRE.
Standards: Team player, responsible, accountable, strong attention to detail.
2. Client & Internal Coordination
4. Liaise with customers (often contractors) to arrange site surveys, installation dates, and pre‑start meetings.
5. Work collaboratively with the Contracts Manager and Surveyor.
6. Ensure all delivery and installation planning aligns with quoted works.
Standards: Open communication, organised.
3. Health & Safety & RAMS Preparation
7. Prepare Health & Safety documentation and RAMS based on survey requirements (including access equipment).
8. Upload RAMS and associated documents to client systems such as Aconnex or Asite.
Standards: Professional, friendly, responsible; willing to travel or stay away when required.
4. Project Reporting & Financial Tracking
9. Add assigned projects to the Outstanding Project Installations Report.
10. Ensure figures are accurate for monthly invoicing and liaise weekly with the Finance Director.
Standards: Accurate, time‑managed, transparent communication.
5. Procurement & Scheduling
11. Update the purchasing agenda promptly with accurate dates upon survey completion.
12. Schedule goods in line with client expectations.
Standards: Clear communication, accuracy.
6. Supply Chain & Installation Coordination
13. Obtain regular supply updates and communicate them to site teams.
14. Arrange subcontractor installation teams following guidance from the Contracts Manager and Installation Resource Manager.
15. Submit RAMS to relevant stakeholders.
Standards: Clear communication, teamwork across Swanmac offices.
7. Installation Planning
16. Confirm installation dates with contractors, ensuring goods, equipment, and installation resources are planned effectively.
17. Ensure FIELDWIRE access is granted and all installation documentation is clearly marked and accessible.
Standards: Organised, communicative, team‑orientated.
8. Project Completion
18. Maintain regular communication with installation teams and customers to drive projects to completion on time and within budget.
19. Update the Project Tracker and submit FIELDWIRE completion reports as required.
20. Maintain the issues tracker and resolve outstanding actions swiftly.
Standards: Accountable, honest, reliable.
9. Team Meetings & KPI Reporting
21. Attend daily team meetings.
22. Submit weekly KPIs to the Team Leader.
Standards: Organised, detail‑focused, effective diary management.
Skills & Attributes
23. Strong project coordination or operational delivery experience
24. Ideally from a construction or installation‑based industry
25. Senior experience or the ability to confidently operate at a senior level
26. Excellent communication and relationship‑building skills
27. High level of organisation and attention to detail
28. Strong IT proficiency and document management skills
29. Comfortable coordinating multiple stakeholders simultaneously
Experience & Qualifications (Desirable)
30. Experience in construction, fit‑out, installation, or related project environments
31. Familiarity with FIELDWIRE or similar platforms
32. Experience preparing RAMS and Health & Safety documentation
33. Knowledge of contractor portals (Aconnex, Asite etc.)
