Overview
An exciting opportunity has become available for a part time Senior Medical Secretary working with the Team Manager in supporting the Urology Secretarial & Administration teams. The post holder will be responsible for the supervision and delivery of key performance indicators within the Surgery & Digestive diseases CSU as agreed with the Team Manager. The post holder will also play a key role in supporting the Team Manager.
The jobholder will provide a comprehensive secretarial/administrative service to a Medical Team within a Clinical Specialty, supporting patient pathway management and liaising with multi-disciplinary teams to ensure effective service delivery.
Responsibilities
* Supervise and deliver key performance indicators within the Surgery & Digestive diseases CSU as agreed with the Team Manager.
* Provide a comprehensive secretarial/administrative service to a Medical Team, including processing referrals, audio transcription and word processing of clinical letters, reports and other correspondence.
* Disseminate information, messages and enquiries for the Medical Team; liaise with multidisciplinary team members and staff across the Trust and externally.
* Work with Clinicians and Service Managers to ensure patients are treated in accordance with Trust policies and procedures.
* Train and supervise secretaries, trainees or temporary staff as appropriate.
* Support the Team Manager in ensuring patient pathway management processes comply with the Trust’s Access Policy and local/national targets (e.g., Cancer, RTT).
* Manage own workload, prioritise tasks, and work independently within defined policies while maintaining confidentiality.
* Collaborate with Waiting List Office management and external agencies to facilitate patient pathways.
* Manage all patients within the Specialty in line with the Trust’s Access Policy and targets.
* Provide information weekly to the Team Manager to support divisional and Trust-wide Performance/Access meetings.
* Administer and maintain accurate data within IT systems (e.g., EPR or other local systems) and ensure deadlines are met.
* Coordinate a secretarial service including filing, audio typing, correspondence, email, faxing, photocopying, mail handling and ordering of stationery.
* Act as point of contact for sensitive telephone enquiries, handling or routing to appropriate colleagues with professionalism and empathy.
* Support the Medical Team in wider activities (e.g., medical committees, research, papers/presentations, reports for legal purposes).
* Chase investigation/test results and bring abnormal/urgent results to the Medical Team’s attention; reschedule appointments and coordinate referrals and follow-ups.
* Coordinate Consultant diaries and inform relevant departments of leave or changes to clinical commitments.
* Work with other secretaries and the Medical Team to promote a team approach; establish and maintain effective filing and administrative systems.
* Provide cover as needed in conjunction with other secretaries for sickness, training and annual leave; coordinate data entry/collection and ensure case notes are available to support service delivery (coding, medical reports).
* Contribute to service improvements with Line Manager/Medical Team and implement standard operating procedures; foster a culture of service innovation and change under Team Manager guidance.
* Supervise and mentor staff and participate in ensuring activities align with comparable levels of responsibility; duties may vary over time.
Qualifications and Experience
* Experience of working with and knowledge of the Referral to Treatment Access Rules and rescheduling.
* Experience in a busy, demanding office environment and ability to work effectively as part of a team.
