Exceed has an exciting opportunity for a Contracts Administrator to join our team. This is a development role which will involve all aspects of supply chain working on internal procedures, supporting Exceeds supply chain team, and contributing to various client facing projects. The successful candidate will receive a combination of on-the-job training and mentoring, coupled with external training courses where appropriate and within budget.

The Contracts Administrator will be required to support the commercial aspects of contracting for the Exceed Wells Management Team. This role will contribute to driving commercial contracting excellence, security of supply and risk management through the implementation of effective and efficient contracting strategies and arrangements.

This role will provide support to the Exceed Supply Chain Manager, Exceed Contract Advisors, Project teams and Clients ensuring the Supply Chain is perceived as a positive, significant, value adding integral partner to the Exceed business.

ROLE RESPONSIBILITIES:

Support and co-ordinates procurement activities within the Wells Management Team through;

* Preparing Materials/Service requirements.
* Collating Bid lists.
* Drafting Invitation to Tender / Request for Quotation documents.
* Preparing and issuing Call off Orders to subcontractors.
* Maintaining Call off Order registers
* Drafting and issuing pre and post tender clarifications.
* Maintaining tender clarification registers.
* Co-ordinating and preparing prequalification and tender enquires.
* Evaluating tender submissions including development of commercial models.
* Preparing contractual documentation against standard company templates.
* Preparing recommendations to award and single source justification approval papers.
* Assisting with Post Contract administration including contract amendments/variations.
* Supporting with Master Service Agreement negotiations and execution.
* Supporting with drafting Pricing Agreements.
* Supporting with Due Diligence evaluations and execution.
* Supporting preparing tender documentation for all Project service requirements.
* Supporting the Exceed Legal Team as and when required.
* Contracting Policies, Processes and Procedures – work with all other stakeholders to drive continuous improvement of processes and procedures emphasising standardisation where possible.
* Develop and maintain strategic relationships with key contractors to ensure best service, commercial terms, surety of services for operations.
* Ensure ‘best value‘is achieved by competitive tendering, effective negotiation and contract structure.
* Internal/ external benchmarking activities to achieve continuous performance improvement (HSEC, QA, Cost, Schedule etc.)
* Supporting other Supply Chain team members on various client facing projects.
* Awareness of operational activities ensuring that the contracts team is working closely with Contract Sponsors/Business Users and other functions to support where required.
* Supports the development of contractor performance KPIs and supplier performance management process.
* Keeps Exceed Supply Chain Manager / Project Manager regularly informed of progress in planning and operations.
* Attends regular weekly Supply Chain Meetings.
* Carries out ad-hoc administration duties to support the Supply Chain Department and Project teams as necessary.
* Supports and helps keep C&P documents library up to date and relevant.
* Supports and updates supply chain tendering and rates database.
* Support and updates scope of work / compensation library for input to tendering documentation and Pricing Agreements.
* Monitoring and assisting in the maintenance of the Exceed PARTS (Procurement and Rental Tendering Software) portal system.
* Monitoring and maintaining Exceed’s Approved Vendor List (AVL).

QUALIFICATIONS:

* Degree qualification preferred in a business, management or law related subject.
* 1-5 years Supply Chain experience in the Oil and Gas Industry.

EXPERIENCE:

* In an Oil & Gas contracting/supply chain discipline.
* Some experience of LOGIC Oil and Gas Contracts.
* Excellent written and verbal communication and presentation skills.
* Computer skills essential (Microsoft Office Suite).

Preferred

* Self-motivated, disciplined and detail conscious.
* Some knowledge of LOGIC.
* Multi-cultural experience in dealing with people.
* Knowledge of Supply Chain documents such as ITTs, RFQs, RTAs.
* Knowledge of Contracting Portals.
