About the Role
Reporting to the Administration Manager, the Administrator plays a vital role in ensuring the smooth coordination and accurate administration of all project-related activities. You will be responsible for maintaining project data, managing client authorisations, processing invoices, and supporting internal and external communications.
This is a hybrid position, offering flexibility to work primarily from home while maintaining close collaboration with our Birmingham-based team. Our offices are based at the prestigious fort dunlop in Birmingham.
Key Responsibilities include but are not limited to:
Prompt and accurate set-up of all new projects, including project number allocation, authorisations, and file creation
Confirm client authorisation for all ongoing activities based on timescale or volume
Accurately collate, input, and manage project data within internal systems
Investigate and resolve project queries efficiently, escalating issues when required
Prepare, distribute, and file all project-related documentation in line with company protocols
Create and issue project invoices within agreed timescales (typically within five days of completion)
Manage external enquiries, providing timely and professional responses
Support the wider administration team and management with day-to-day operations
Assist in maintaining compliance and data accuracy across all project files and systems
The ideal administrator will have the following experience:
Proven administration or data inputting experience - minimum 1 years experience
Excellent organisation, attention to detail and accuracy
Confident communicator – both written and verbal
Proficient in Microsoft Office and database systems
Proactive approach to problem-solving and issue resolution
Ability to work independently and as part of a wider team
Additional Information
Hybrid working: minimum 1 day per week in the Birmingham office (Fort Dunlop)
Restriction on booking annual leave during the first 6 days of each month due to invoicing periods
This role will primarily support UK operations but will also liaise with our growing facility in Europe
Areas of focus include auditing, data input, customer liaison, and system adherence
