YOUR IMPACT
We are searching for a highly motivated Administrative Assistant with 3+ years of admin experience to support multiple managing directors and their legal teams across various locations and time zones. Previous experience supporting executives or lawyers and managing complex diaries is essential. The role requires exceptional multitasking abilities, strong communication skills, and keen attention to detail.
Responsibilities:
1. Supporting MDs and their teams of 20+ people
2. Maintaining detailed calendars and prioritising meeting requests
3. Providing legal spend management support and proactively managing legal billing for the teams
4. Allocating team members to Engagement Letters and NDAs from bankers, coordinating NDA reviews with vendors, and maintaining records in Excel and internal databases
5. Booking travel arrangements (cars, international flights, accommodation, visas)
6. Expense management, ensuring expenses are processed promptly
7. Coordinating internal meetings with senior leaders and high-level stakeholders, and forming good relationships with Executive Admins throughout the firm
8. Implementing divisional policies and providing guidance to their teams
9. Maintaining a strong understanding of firm policies to handle certain issues independently
10. Participating in general administrative duties and taking on ad-hoc requests as required
Skills:
1. 3+ years of Admin Assistant experience
2. Excellent interpersonal and communication skills
3. Proficiency in MS Word, Excel, PowerPoint, and Outlook
4. Strong organizational skills with great attention to detail
5. Problem-solving skills and ability to work efficiently
6. Self-starter with anticipation skills, judgment, and follow-up capabilities
7. Comfortable working with people at all organizational levels
8. Ability to work under pressure, adapt to unexpected events, prioritize, and multitask in a deadline-driven environment
9. Ability to prioritize time-sensitive tasks
10. Team player with a positive attitude
11. Highest degree of integrity, professionalism, diplomacy, and discretion, especially with sensitive information
