Position: Private Client Legal Secretary/Front of House Assistant

Our client, a highly regarded Legal 500 law firm is seeking a Legal Secretary / Front of House Assistant to join their close-knit team in their Henley-in-Arden office. This dual-role offers the opportunity to provide outstanding front-of-house service while also supporting senior fee earners with vital administrative and secretarial tasks.
Key Responsibilities:
Front of House Duties:
* Serve as the first point of contact for all visitors, ensuring a warm and professional welcome.
* Prepare refreshments and ensure meeting rooms are presentable and well-equipped.
* Manage office supplies discreetly and efficiently.
* Coordinate meeting room and hot desk bookings via the Henley office diary.
* Open and close the office as a trusted key holder in line with procedure.
* Liaise with contractors and handle ad-hoc tasks to support smooth office operations.
* Handle post duties, including franking and delivery to the local post office.
* Carry out small local errands as required.
Legal & Administrative Support:
* Provide high-quality support to fee earners, including audio typing and document production.
* Draft client correspondence and prepare legal documents (Wills, LPAs, Codicils, etc.).
* Manage client data using the firm's practice management system.
* Open and close client files, draft engagement letters, and handle archiving processes.
Client Liaison & Communication:
* Handle client communications via phone, email, and in-person with professionalism and discretion.
* Schedule appointments, coordinate diaries, and prepare meeting materials.
* Assist clients with ID checks and support the client onboarding process.
Compliance & Office Management:
* Assist with compliance documentation and liaise with the firm’s compliance team.
* Support document management, filing, scanning, and accurate data entry.
* Prepare posting slips and manage document retrieval from storage.
General Team Support:
* Provide general administrative support as needed across the office and team.
About You:
* Previous experience in a legal secretary or administrative role (ideally within a Private Client team).
* Exceptional organisational and typing skills.
* Strong interpersonal and client service skills.
* Comfortable managing varied responsibilities and working both independently and as part of a team.
* High level of IT literacy, particularly in Microsoft Office (Outlook, Word, etc.).
* Proactive, dependable, and adaptable to the needs of a busy office environment.
