The Opportunity
We are excited to be expanding our team and have an outstanding opportunity for a Legal Support Assistant to join our dynamic and friendly team in our Newport office. This role is perfect for individuals passionate about providing excellent administrative support and eager to advance their careers in a reputable legal firm.
Your Role and Responsibilities
As a Legal Support Assistant, you will be an integral part of a collaborative team dedicated to maintaining the highest standards of reception, audio typing, and administrative support. Your key responsibilities will include, but are not limited to:
* Reception Duties: Dealing with incoming and outgoing calls efficiently and professionally, taking clear messages and directing clients to the appropriate person.
* Clients: greeting clients and visitors with a warm and friendly demeanour, ensuring a positive first impression both in the telephone and in person
* Payments: Handling online and card payments securely and accurately, maintaining confidentiality and precision in financial transactions.
* Diary Management: Managing diaries effectively to ensure smooth daily operations, scheduling appointments, meetings, and court dates, and coordinating with team members to avoid conflicts.
* Handling new enquiries, responding promptly, and providing necessary information to secure new business.
* Conducting conflict checks and opening new matters on CMS.
* Administration: Provide general administrations support, dealing with incoming /outgoing post, scanning, photocopying and typing documents accurately.
* Adherence to Policies: Ensuring all internal systems, policies, and procedures are meticulously followed, upholding the firm's standards and contributing to an organised work environment.
* Document Management: Preparing document bundles, photocopying, and scanning as required, handling various administrative tasks with precision.
* Work Allocation: Managing your workload efficiently to avoid backlogs, prioritising tasks to meet deadlines and maintain productivity.
* Colleague Support: Providing cover for colleagues when needed, working as part of a team and supporting each other during absences or busy periods.
* Ad-hoc Duties: Performing various ad-hoc administrative tasks as required, demonstrating flexibility and adaptability to assist with additional tasks.
Essential Skills and Experience
To excel in this role, you will need the following skills and experience:
* Minimum of 1 year of reception, administration or secretarial experience, preferably in the legal sector.
* A friendly, professional telephone manner and excellent people skills.
* Accurate audio typing/keyboard skills, with the ability to transcribe dictations swiftly and accurately.
* Excellent organisational skills with the ability to multi-task and prioritise effectively to meet deadlines.
* The ability to work well in a team with a flexible and collaborative approach.
* The motivation to learn and show initiative, eager to develop new skills and improve processes.
* Excellent communication skills and a professional telephone manner.
* Proficiency in IT skills, including Microsoft Office packages and Case Management Systems.
* Strong customer service skills, with the ability to interact professionally with clients and colleagues.
* A proactive and adaptable attitude, ready to take on additional tasks as needed.
