Our Patient Co-ordinator role at Dr. David Jack’s Clinics is of utmost importance. You are the first point of contact for all clients and the last as they leave the clinic, so it is essential that you represent the brand with the highest quality and offer excellent customer service. Whether clients are new or returning, we aim to provide a personalized and luxury experience throughout their journey.

Requirements include working within core hours of 10am - 6pm and every second Saturday.

Essential experience/skills for the Patient Co-ordinator role:

* Previous experience in receptionist/front of house/admin roles
* Excellent written and verbal communication skills
* Experience handling sensitive and confidential information, with a strong understanding of client privacy and data protection policies such as GDPR
* Friendly, personable with excellent attention to detail
* Outstanding customer service experience in a luxury setting
* Knowledge of the aesthetics industry and skincare
* Desire to be part of a growing business
* Proficiency in Microsoft Office Suite, Apple Mac, Google Workspace, and CRM systems
* Good time-management skills and ability to prioritize tasks efficiently

Responsibilities include, but are not limited to:

* Welcoming clients and offering refreshments, ensuring a luxury service at all times, and managing the patient journey from enquiry to post-appointment follow-up
* Collaborating with practitioners to ensure efficient, punctual, and communicative operations, including diary management and administration
* Understanding treatments and products offered, staying updated on new offerings
* Providing administrative support across the organization as needed
* Promoting and recommending products and services to maximize sales and referrals, advising clients on treatments and skincare products
* Managing petty cash, daily accounting, banking, invoicing, and payment systems according to company policies
* Supporting doctors and aestheticians with ad hoc duties, ensuring they have necessary equipment and supplies
* Stock management, including monitoring deliveries, unpacking stock, arranging displays, updating stock counts in CRM, and reporting to accounts
* Assisting with PR, marketing, and clinic events, which may occur in evenings or on weekends
