Maestro Arts offers a bold new vision for the performing arts. Our international management company provides worldwide representation for conductors, instrumentalists, singers, composers, visual artists, lecturers, stage designers and directors. We seek to unite outstanding performers from the world of classical music with innovative visual artists, other creative partners, international venues and arts organisations.
The Office Assistant is a part‑time role supporting the team in our offices at Somerset House, ensuring the smooth functioning of daily activities, including meetings, scheduling, procurement and administration. They also support the Directors in researching and organising travel. Main responsibilities of the role include (but are not limited to):
Office Management
* Book meeting rooms and review monthly packages
* Monitor and purchase equipment and supplies
* Manage the company’s magazine directory and online subscriptions
* Organise requests and purchase London concert tickets for staff
Virtual Office/ IT Support
* Initial point of call for day‑to‑day IT matters, liaising with external IT consultant (MacTribe) as necessary
* Keep our Overture database and shared address book updated with new contact information and personnel changes
Assistance to Directors
* Help manage and co‑ordinate diaries for Directors. Schedule internal and external meetings. Ensure diaries (Overture) are kept up to date
* Research, plan and organise travel for Directors, including making relevant travel and accommodation bookings, visa applications, and preparing briefing folders and itineraries
* Provide administrative support as required, for example attending and minuting meetings
Job Requirements

Proactive - shows initiative, confident in solving problems and researching information independently.
Secretarial/Administration - good secretarial skills, experience in producing and maintaining documents/information and organising meetings. Initiative to research and source solutions to problems. A good planner, able to look ahead and anticipate needs.
Financially astute - numerate, able to budget, compare options and identify best value for money.
Attention to detail - keen eye for detail and accuracy.
Technical - a good understanding of office computing needs and familiarity with cloud‑based computing.
Industry - key experience in or a keen interest in our industry.
