Events Assistant

Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week

Job Responsibilities
Assist in delivering commercial hire and public programme events at Leighton House and Sambourne House.
Collaborate with onsite caterers to ensure high-quality events for clients and attendees.
Support weekend learning events to provide high-quality service to family audiences.
Ensure the safety and security of the museums and their contents.
Provide frontline information and assistance to visitors.
Prepare the museum for evening events as directed by the Duty Manager.
Work closely with contracted caterers for event setup, execution, and closure.
Be available for work outside standard office hours, especially evenings and weekends.
Ensure safety during film and photo shoots.
Act as a friendly and professional first point of contact at reception for event hirers and guests.
Ensure public spaces are safe and presented to a high standard for guests.
Collaborate with the museum café team to maintain high visitor experience standards.
Strike and pack down after events to restore the museum for visitors.
Deliver the museum's programme of public evening events and weekend learning & engagement events.
Collaborate on fundraising events and key museum events like the annual Garden Party and Friends Dinner.
Ensure a professional and welcoming visitor experience with high customer care standards.
Take responsibility for health & safety in visitor-facing areas.
Undertake necessary training, including First Aider and Fire Warden training.
Work in the museum shops to maximize income generation.
Protect the building and its contents during events and report any issues immediately.
Person Specifications
Experience in the events industry, ideally within a historic environment.
Availability to work weekdays, weekends, and evenings as required.
Experience leading a team, especially in evening event settings.
Excellent interpersonal skills for working with diverse teams and individuals.
Understanding and experience in supporting visitor access needs in a museum or similar environment.
Ability to prioritize a diverse workload with minimal supervision.
Good organizational skills and attention to detail.
Ability to acquire knowledge of museum contents, procedures, and key contacts.
Knowledge of health and safety requirements in public-facing environments.
Experience as a duty manager in a museum or similar environment.
Experience in operational premises management and security procedures.
Ability to exercise initiative and problem-solving skills.
Experience in customer-facing roles with excellent interpersonal skills.
Knowledge of booking, payment, and invoice systems.
Intermediate IT skills, including Microsoft Office 365 (Excel, Teams, SharePoint, Outlook).
Strong interpersonal skills for building productive working relationships.
