The Home Administrator adopts a 'hands on' approach, working with and taking responsibility for the administration of the Home and applying the highest standards of modern and professional practice. He or she ensures that the home's policies and procedures are followed, in accordance with relevant legislation, to meet residents' needs in a person-centred way.
Job Duties Management:
· Support with enquiry management for example arrange viewings for potential new residents, sending out literature and keeping records of all new admissions
· Support with the admissions process including meeting with prospective residents/families to discuss fees, personal allowance and full contact details.
· To ensure residents receive sundry services including hairdressing and chiropody when required, keeping accurate records of these in case of invoice queries.
· Ensure relevant forms are completed and accurate records kept if handling residents' monies.
· Provide full HR support to the service, ensuring that personnel files staff are compliant with the Home Office, regulatory requirements and Company policies.
· To arrange all Mandatory training and liaise with all Staff for log in details and completion dates.
· Taking minutes of all meetings
· Compose and type professional letters.
· Record any complaints, compliments or concerns received by you, escalating as required in accordance with Company policies and procedures.
· Completion of weekly wages returns Excel spreadsheet and full submission to the accountants monthly.
· To ensure staff training hours are correctly recorded on the wages returns spreadsheet and ensuring all completed training is recorded on the Training Matrix and Care Control under every Staff's profile.
· To ensure that all visitors and potential customers are warmly welcomed, offered refreshments and offered help and assistance promptly.
· Handling all incoming phone calls, emails in a professional and courteous manner, and to take responsibility for incoming and outgoing post
· Maintain stock control of stationery.
· Covering all telephone extensions during working hours
Proven office experience with strong organisational skills is essential.
Proficiency in computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint)
