The Ward Clerk/Administration Assistant is responsible for participating as part of the Midwifery Team providing general clerical assistance as determined by the Ward/Departmental Manager. We are recruiting to a 37.5 hour per week post, working Monday - Friday.
Main duties of the job
·Effective verbal, written & electronic communications. receiving and passing on clear messages to the midwifery team and seeking assistance when required.
Act as first point of contact for the midwifery team, dealing appropriately with all communications and tasks allocated, including sensitive issues, maintaining confidentiality at all times.

Detailed job description and main responsibilities
Provides effective verbal, written and electronic communications by receiving and passing on clear messages and seeking assistance when needed
Acts as first point of contact for the person in charge dealing appropriately with all communications and tasks allocated, including sensitive issues.
·Liaises with patients, relatives and visitors providing directions and information as required. Also obtaining the appropriate support when needed from the Multidisciplinary Team.
Maintain and photocopy records, prepare forms and make appointments as requested, this may include organising transport arrangements, ensuring that the information given is accurate and up to date.
Prepares and checks patient’s records completing the relevant documentation as instructed, filing reports and storing in correct place.
·Liaises with the Multidisciplinary Team assisting in chasing up procedures.
Requesting and obtaining investigation reports informing staff of the results
·Receives and processes mail and specimens, delivering to the correct place and carrying out errands between Departments.
Maintain stationary stock levels needed – this includes ordering, receiving and checking deliveries are accurate and reporting discrepancies.
Deal with enquiries and direct appropriately to the most appropriate person/location.
Establish and maintain an effective filing system
Maintain spreadsheets for accurate data collection.
Monitor and action mailboxes as appropriate.

Qualifications
Essential criteria
1. Can demonstrate good evidence of general education
Desirable criteria
2. Keyboard & IT Skills
3. NVQ Level 2 or above
Experience
Essential criteria
4. Ability to work as a member of a team or independently.

5. Previous clerical experience
6. Previous experience with Maternity systems/HIS/CRIS
skills

7. Good communication and organisational skills
8. Knowledge of spreadsheets for data collection.
