The Firm
A top-tier Legal 500 law firm based in Liverpool is seeking an experienced Legal PA to support its busy and highly regarded Property team. The Role
You will provide comprehensive personal assistant and administrative support to fee earners within the Property department, ensuring the smooth day-to-day management of files, correspondence and client communication. This is a fast-paced role requiring strong organisational skills, attention to detail and the ability to prioritise effectively.
Key Responsibilities
* Providing high-level PA and administrative support to solicitors and senior fee earners within the Property team.
* Managing diaries, meetings and travel arrangements, ensuring effective scheduling and prioritisation of workloads.
* Preparing, formatting and amending a wide range of legal documents and correspondence, including contracts, reports, completion statements and letters.
* Handling audio and written dictation with speed and accuracy.
* Opening, maintaining and closing files in line with internal procedures and regulatory requirements.
* Managing incoming and outgoing telephone calls, emails and correspondence, acting as a professional first point of contact for clients and third parties.
* Liaising with clients, estate agents, developers, lenders and other solicitors to assist with the smooth progression of transactions.
* Supporting with billing, time recording and financial administration, including raising invoices and managing completion funds where required.
* Maintaining accurate records on the firm’s case management systems and third-party portals, ensuring compliance with internal procedures and data protection requirements.
* Assisting with exchange and completion processes, including document preparation, post-completion administration and Land Registry submissions where appropriate.
* Ensuring all work is completed in accordance with SRA requirements, firm policies and lender panel obligations.
Candidate Requirements
* Proven experience as a Legal PA or Legal Secretary within either:
* Commercial Property
* Strong understanding of property transactions and legal documentation.
* Excellent typing, document production and formatting skills.
* Confident in the use of case management systems and Microsoft Office.
* Highly organised with exceptional time management and attention to detail.
* Professional, approachable and confident when dealing with clients and external contacts.
* Ability to work effectively under pressure in a deadline-driven environment.
* A proactive and flexible approach, with a strong commitment to delivering high-quality support.
