Job Title: Maintenance & Accounts Coordinator Department: Property Management / Rentals Location: East Belfast (Business needs may require you to work at any NI locations) Contract Type: Full-time, Permanent Job Purpose The Maintenance & Accounts Coordinator plays a key role in the smooth running of the rental division by managing deposit processing, arrears chasing, contractor invoicing, safety compliance, and maintenance coordination. This role ensures properties remain compliant, financial processes are accurate, and landlords receive regular updates on rental income, arrears, and property works. Key Responsibilities 1. Tenancy Endings & Deposits Process tenancy end instructions received from Property Managers. (Receive/Issue Notice, book relevant inspections from notice, update rent charges accordingly) Process and Manage TDS deposit repayments with a target of 90% progression completion. Handle deposit disputes for Let Only landlords Register deposits for all tenancies and issue deposit certificates. Lease Renewals & Tenancy Changes Manage Let Only and Managed lease renewals overdue by 6 months Assist all property managers with Lease Renewal admin (arrears, certs, inspections). Organise additional inspections when requested. Process changes to leases (addendums, tenant swaps, etc.) Manage management takeovers, including resigning leases Maintenance & Repairs Instruct office-reported repairs or book maintenance inspections. Organise all safety certificates (Gas, EPC, EICR, etc.) for all properties. Follow up on all works orders, confirming with tenants when repairs are complete. Close jobs in system once invoices are received and works confirmed. Assist Property Managers with maintenance when required. Handle all maintenance for block management properties. Accounts & Invoicing Record and reconcile contractor invoices in Alto system. Reduce landlord float balances by processing invoices efficiently. Ensure all works orders have matching invoices before closing. Rent Arrears Management Proactively chase rent arrears daily via phone and email. Provide landlords with daily arrears updates. Record all arrears actions in CRM. Handle all arrears for block management properties. Safety Certificate Management Contact all landlords when safety certificates are due for renewal via email and phone. Instruct all relevant certificates with approval from landlord (EPC, Gas Cert, EICR, Oil Cert, Smoke Alarm Upgrades). Follow up all instructed safety certificate jobs with contractors to ensure they are carried out before they expire. Ensure the relevant certificates are added to Alto system (property media) and dates are updated (property maintenance) Person Specification Essential Skills & Experience Previous experience in property management, maintenance coordination, or accounts. Strong organisational and administrative skills. Excellent attention to detail for financial and compliance records. Confident communicator with tenants, landlords, and contractors. Ability to prioritise tasks and work to deadlines. Knowledge of tenancy legislation, deposit protection rules, and property compliance. Competent in property management software (e.g., Alto). Desirable Skills & Experience Experience handling deposit disputes. ARLA/Propertymark or accounting qualifications. Experience with block management maintenance and arrears. Key Performance Indicators (KPIs) Deposit progression completion rate ( 90% target ). Number of arrears cases reduced/cleared. Timeliness of invoice processing and float management. Revenue from additional inspections, lease changes, renewals, and disputes. Landlord satisfaction and communication consistency. Safety certificates issued on time across all properties. Other Information: Location: Belfast, BT4 Hours of work: Monday - Friday 08:30 - 17:30 plus one Saturday every 3 weeks based on a rota, 09:30 - 12:30.
