Purpose of Role
We are looking for an organised and proactive PPM Coordinator to join our Facilities Team working on a Defence Contract we have based in Bicester. This role is integral to ensuring that all planned preventative maintenance (PPM) activities are scheduled, tracked, and completed efficiently in line with contractual and compliance requirements.
Job Description
Working as part of the site’s facilities management team, you’ll support engineers, subcontractors, and site management to maintain operational excellence and deliver high standards of service to our Defence client.
Responsibilities
* Coordinate and schedule all planned preventative maintenance (PPM) tasks in line with contractual obligations.
* Maintain and update the Computer-Aided Facilities Management (CAFM) system with accurate job records, asset details, and completion notes.
* Liaise with engineers, subcontractors, and site management to ensure timely completion of all works.
* Produce weekly and monthly reports on PPM performance and outstanding tasks.
* Monitor and manage compliance documentation, certificates, and asset records.
* Support reactive maintenance coordination when required.
* Ensure all activities are carried out in line with health, safety, and security regulations, particularly relevant to working on a Defence establishment.
Essential Qualifications/Skills
* Previous experience in a PPM, Maintenance Coordinator, or Facilities Administrator role.
* Strong IT and administrative skills, particularly in CAFM systems (e.g. Maximo, Concept, or similar).
* Excellent communication and organisational skills, with attention to detail.
* Ability to prioritise workload in a busy facilities environment.
* Experience working in a Defence or secure site environment would be advantageous.
