Department: Aftersales & Service

Reports to: Service Manager

If you are a highly organised, motorcycle‑obsessed professional who thrives on operational efficiency, this is your opportunity to become the central nervous system of a premier multi‑franchise dealership. This isn't just about handing over parts; it's about mastering the supply chain for four legendary brands Ducati, Kawasaki, Aprilia, and Moto Guzzi. You will be the crucial link ensuring every service bay has the right components and every customer leaves with the perfect accessories for their ride. Your expertise directly drives workshop efficiency and customer satisfaction.


Your Mission: The Aftersales and Parts Advisor Role

This dynamic, customer‑facing role places parts management firmly at its core. You will take ownership of the entire parts ecosystem for our multi‑franchise operations, balancing technical service support with direct retail sales. You will be responsible for a diverse range of tasks, from rigorous stock control and manufacturer warranty processing to expert service administration. Key Responsibilities

* Workshop Supply: Accurately identify, source, and order all necessary genuine parts required for scheduled services, repairs, and warranty work across the Ducati, Kawasaki, Aprilia, and Moto Guzzi franchises.
* Customer Accessories: Proactively advise customers on the full range of accessories, clothing, and aftermarket items, managing the ordering and fitment process for both new and used bike sales.
* Stock Control: Maintain rigorous control over parts inventory, conducting regular stock checks, managing receipts, returns, and ensuring the parts department is accurately merchandised and organised.
* Supplier Liaison: Manage relationships and ordering systems with all four primary manufacturers and associated third‑party suppliers.
* Invoicing & Administration: Process parts invoices accurately, handle payment transactions, and ensure all parts are correctly allocated to job cards or customer invoices.


Aftersales & Service Administration

* Service Booking: Assist with initial customer contact, answering service desk calls, booking in services and repair work, and managing the workshop diary.
* Customer Communication: Provide exceptional communication, keeping customers updated on the status of their vehicle, parts delivery, and service completion times.
* Warranty Processing: Assist the Service Manager with the administration and documentation required for warranty claims submission, specifically related to parts usage.
* Handover: Prepare final documentation and process payments for completed service jobs, ensuring a professional and positive customer handover experience.
* Record Keeping: Ensure all customer and vehicle records within the Dealer Management System (DMS) are accurate and up‑to‑date.


Person Specification (Skills And Experience) – Essential

* Proven experience in a parts, aftersales, or service advisory role, ideally within the automotive or motorcycle industry.
* Exceptional organisational skills and meticulous attention to detail, vital for accurate parts ordering and stock management.
* A genuine passion for motorcycles and excellent knowledge of motorcycle components, brands, and accessories.
* Strong IT proficiency and the ability to quickly learn dealer‑specific management systems (DMS).
* Outstanding customer service and communication skills (both verbal and written).


Desirable

* Previous experience working with premium or multi‑franchise vehicle brands.
* A valid motorcycle licence (Category A).
* Experience with warranty administration and processing.
