The Opportunity
Key Responsibilities
L&D Programme Management and Team Support:
1. Administrative support for L&D Manager Digital as well other L&D Managers when working with them on programmes
2. Supporting with Digital L&D team internal processes such as arranging meetings, processing invoices and reporting, renewal of departmental subscriptions, processing invoices and tracking budget spend
3. Act as the key contact to answer day-to-day queries such as course scheduling, processing invoices, training records, etc.
4. Research and collation of information to support design/curation of learning.
5. Support virtual delivery of programmes, including testing technology, recording sessions, managing attendance.
6. Conduct inductions giving overview of L&D for new starters to Digital
7. Coordination support for different populations within the firm (particularly within Digital), which may include scheduling dates, making room bookings, liaising with global delegates, managing delegate numbers, liaising with speakers, preparing materials.
8. Support the Digital L&D Manager with the running of onsite events such as insight days/ social mobility workshops.
9. Liaise with external suppliers and venues and arrange payment of supplier invoices.
10. Send out feedback surveys and collate themes.
11. Upload and manage events on the firm's LMS and maintaining training records.
Population-facing support
12. Build and sustain relevant connections (eg with People Team members, Digital Office Operations, Digital Business Services, Reservations, etc).
13. Regular communications with the relevant L&D managers and advisers.
14. Keep other members of L&D, the wider L&D team informed as necessary, as well as those within the wider business
15. Developing understanding of L&D responsibilities and approaches.
16. Supporting subject matter experts with research as required.
Coaching Administration
17. Support the administration of the internal coaching faculty
18. Ensure the up to date maintenance of coaching records (with specific responsibility for updating external coaching assignments) and generate quarterly activity reports/ other relevant management information.
19. Maintain distribution lists for the internal coaching faculty
20. Manage the internal/external coaching faculty biography document to ensure that it is up to date
21. Produce coaching bio documents on request
22. Generate coaching agreements and statements of work for external coaches
23. Process coaching invoices and track against the budget
24. Monitor the coaching inbox and ensure that requests are dealt with in a timely manner
25. Organise and schedule supervision and CPD sessions for internal coaching faculty members
Qualifications, skills and experience
26. Previous administration experience essential.
27. Previous L&OD experience desirable.
28. Professional services experience would be preferable.
29. Computer literacy - good working knowledge of computer systems including Microsoft Word, Excel, Outlook, PowerPoint, LMS
30. An innovative mindset, curious about AI and emerging technologies.
