Hours: Monday–Thursday (8:30 AM – 4:30 PM), Friday (8:30 AM – 4:00 PM)
Role Overview
Join our Family Hub team as a Receptionist, providing a warm, welcoming front-of-house experience for families and children, while delivering vital clerical and administrative support to the wider service. This is an office-based role ideal for an organised, personable, and efficient professional.
Key Duties May Include
• Greeting all visitors, including families and professionals, in a respectful and responsive manner
• Handling incoming telephone calls and directing enquiries appropriately
• Booking and preparing meeting rooms, ensuring availability and readiness
• Performing general and complex administrative support across the team
• Sorting and distributing post, maintaining filing systems (manual and electronic)
• Monitoring and ordering office stock and supplies
• Managing petty cash and supporting basic financial routines
• Inputting and maintaining accurate records on electronic systems
• Preparing agendas, taking minutes, and servicing meetings as required
Key Responsibilities
• Deliver excellent customer service, in person and over the phone
• Provide reception and clerical support within a multi-agency team
• Ensure compliance with health & safety, data protection, and equality standards
• Maintain accurate data entry and documentation for internal systems
• Support with staff records, including absence returns and flexi-time
What They're Looking For
• 4 GCSEs (Grades A–C) or equivalent, or substantial relevant experience
• Previous receptionist or front-of-house experience
• Comfortable working in a fast-paced, people-focused environment
• Knowledge of Microsoft Office (Word, Excel, Outlook, Publisher)
• Experience using both manual and IT systems
Skills & Competencies
• Friendly, professional communication – face-to-face, phone, and written
• Ability to multitask and stay calm under pressure
• Strong time management and organisational skills
• Able to use own initiative and work independently
• Skilled in dealing with sensitive or diverse public needs with tact and diplomacy
• Proficient in meeting deadlines and handling varied administrative tasks
Other Requirements
• Enhanced DBS required
• In-person interview process
• Flexibility to meet operational requirements
• Willingness to undertake training and development
