Personal Assistant (PA) Industry-Leading Software Company Job Summary: We’re looking for a high-level Personal Assistant who is dynamic, energetic, and ambitious to work closely with our CEO & COO, providing them support to ensure the cohesive running of a busy team. The ideal candidate will be our greatest asset and the gatekeeper for the CEO/COO's time and priorities. You will be extremely organised, a problem solver, resourceful, and take ownership. You will be proficient in email and calendar management of two executives, organisation, HR tasks, screening recruitment, and owning projects from conception to delivery. Taking initiative, getting things done, the ability to own projects to completion without dropping other priorities, as well as good people skills, are crucial for this role. We are looking for someone with a strong interest in technology / AI, not scared of jumping into projects/tasks that she/he has never done before. Your ability to learn quickly, adapt to new technologies, and your strong command of G Suite applications (Google Drive, Google Emails, Google Calendars, Google Sheets, Google Docs, etc) will be essential to excel in this role. Diary/calendar management: You will be the gatekeeper of the CEO/COO's time. Protecting where their time goes. This includes: Handling calendar appointments, scheduling meetings, and making sure everything on the calendar is up to date and correct. Email management: Efficiently manage executives' emails, prioritise messages, and maintain an organised system. Learning the voice and tone of the executives over time to be able to respond to low-level emails that come in. Managing information flow in a timely and accurate manner. Making travel and accommodation arrangements. Event organisations for the team Project management: Demonstrating exceptional organisational skills, meticulous attention to detail, and the ability to handle multiple tasks simultaneously, finishing them without dropping anything, and taking ownership of the projects. (Projects will vary from HR to Recruitment, Marketing, Business, and anything that the CEO & COO get involved with) Conducting research when requested. Recruitment support: Participating in the recruitment process by screening resumes, coordinating interviews, and communicating with candidates. Payroll and Bookkeeping assistance: Sending payroll information to the accountants, supporting the bookkeeper with tasks, such as managing expenses, invoices, and financial records, ensuring accuracy and compliance. Keeping up with office supply inventory. Supporting CEO & COOs with any projects to save them time.
