Client Care Assistant – Accounts & Insurance Focus Are you highly organised, proactive, and confident with both client-facing and administrative work? We’re looking for a Client Care Assistant – Accounts and Insurance Focus to join our friendly and dedicated team. In this vital role, you’ll support both front-of-house operations and back-office processes, with a strong emphasis on debt management, insurance claims, and account reconciliation. While you will be part of the Client Care team and occasionally assist on reception, this is predominantly an administrative role requiring excellent attention to detail and a calm, professional manner. Key Responsibilities Debt Management Monitor and maintain client accounts throughout the debt collection process. Issue debt letters and follow company procedures to recover overdue payments. Communicate with clients via phone, email, and messaging platforms regarding outstanding balances. Liaise with branch and reception teams to ensure up-to-date account information. Identify and prioritise small to mid-level debts for timely resolution. Categorise and manage various debt types (e.g. bad debt, direct claims pending, promised payments). Work through aged debt reports and support the resolution of longstanding accounts. Insurance Claims & Queries Submit insurance claims and manage remittance allocations. Process payments and issue refunds as needed. Collaborate with colleagues to respond to insurance-related queries. Reconcile accounts related to charity partners. Training & Support Deliver training to new starters on debt and insurance processes. Serve as a key point of contact for debt-related enquiries. Additional Responsibilities Provide cover on reception during staff absences. Support MHP (Medivet Healthcare Plan) debt management alongside the wider team. Reception Support Ensure a smooth handover between day and night teams by preparing the practice at opening and closing. Handle incoming calls, emails, and client enquiries in a professional and empathetic manner. Triage emergency appointments and reschedule clients as needed. Perform standard reception duties including greeting clients, restocking, and maintaining a clean front-of-house. Manage till operations and card transactions. Promote the Medivet Healthcare Plan and assist clients with sign-up documentation. About You A confident communicator, comfortable speaking with clients in person and over the phone. Previous experience in an administrative, accounts, or customer care role preferred. Strong attention to detail and the ability to manage multiple tasks efficiently. Calm under pressure, especially in sensitive financial or emergency situations. A team player who enjoys working in a collaborative environment.
