Personal Assistant to the Vice-Chancellor’s Office
Are you an organised, proactive professional who thrives in a fast-paced environment? We are looking for a highly motivated and professional Personal Assistant to join the Vice-Chancellor’s Office, providing confidential and high-level support to Senior Officers.
This is a unique opportunity to work at the heart of the University, supporting senior leadership and contributing to the smooth running of a busy and dynamic office. The role is ideal for someone who enjoys managing complex priorities, building strong professional relationships, and ensuring senior leaders are supported effectively.
About the role
As Personal Assistant, you will play a key role in supporting Senior Officers by managing complex schedules, coordinating meetings, and ensuring priorities are handled efficiently. You will be trusted to work with discretion and professionalism while helping maintain the effective operation of the Vice-Chancellor’s Office.
The role offers variety and responsibility, including diary management, meeting coordination, and supporting travel arrangements, including international travel planning.
Key responsibilities
1. Proactively managing complex and demanding Outlook diaries
2. Coordinating meetings, appointments, and competing priorities
3. Providing high-level confidential administrative support to Senior Officers
4. Preparing agendas and taking accurate minutes for meetings
5. Supporting meeting facilitation and follow-up actions
6. Organising travel arrangements, including international travel when required
7. Supporting the efficient day-to-day operation of the Vice-Chancellor’s Office
About you
We are looking for someone who is:
8. Highly organised with excellent attention to detail
9. Experienced in managing complex diaries and competing priorities
10. Comfortable working in a fast-paced professional environment
11. An excellent communicator with strong interpersonal skills
12. Experienced in minute taking and meeting coordination
13. Experienced in organising travel arrangements (desirable)
14. Professional, proactive, and able to handle sensitive information with discretion
