The Compliance Administrator plays a key role within the HR department, providing essential day-to-day administrative support to ensure smooth and efficient operations across both site and office staff where required.
This role supports HR processes related to onboarding, attendance management, compliance monitoring, employee data management, and general HR administration. The Compliance Administrator also assists with reporting, system updates, and ad-hoc HR activities to ensure organisational policies and procedures are followed across multiple regions.
Key Responsibilities
Administration & Employee Queries
* Manage the HR inbox and respond to employee queries in line with response time standards, escalating complex issues to HR when required.
* Handle queries received via the HR mobile line and log issues for escalation where necessary.
* Maintain and update employee information, including bank details, addresses, and Tax Identification Number (TIN) uploads, ensuring payroll records are updated accordingly.
* Monitor and follow up on completion of new starter documentation for site staff and update records within HR systems.
Attendance & Leave Management
* Track employee attendance across operations in Ireland, the UK, and Europe.
* Issue attendance sanctions where appropriate and escalate concerns to HR or senior management.
* Manage holiday and rotation requests in collaboration with relevant operational managers.
* Escalate attendance and absence concerns to HR and senior management for review and further action.
Onboarding & Offboarding
* Prepare onboarding documentation and maintain trackers for new site staff.
* Support new employee inductions and assist with user training on internal systems.
* Create and maintain employee records within HR systems such as BambooHR and Centum.
* Coordinate offboarding and demobilisation processes for leavers, ensuring records are updated and relevant correspondence is issued.
Data Management & Reporting
* Produce weekly HR reports, including time-off schedules and leaver reports.
* Conduct routine audits of HR systems to ensure data accuracy and identify discrepancies requiring correction.
* Review reduced working hours across relevant regions and update systems accordingly.
* Maintain rotation trackers and provide payroll with accurate information to support timely processing.
HR Support Functions
* Provide administrative support for visa processing and Tax ID applications in collaboration with the Global Mobility (GMOB) function.
* Support HR projects and provide ad-hoc administrative assistance and reporting as required.
