Welcome visitors to the building, notify the appropriate staff member of their arrival, and manage all incoming calls by directing them to the correct person or taking accurate messages. Follow all health and safety procedures, ensuring visitors and contractors are signed in and issued with ID badges. Maintain up‑to‑date knowledge of office equipment, ensure it is in good working order, and keep the reception area safe, tidy, and presentable. Manage the issuing and return of all keys, ensuring secure key control at all times. Issue and record entry fobs provided to contractors and visiting professionals. Process rent payments accurately. Handle financial tasks such as recording, counting, and banking money, and take responsibility for the safe float when the Administrator is absent. Manage all incoming and outgoing mail, ensuring timely processing and distribution. Be fully aware of fire safety procedures, including the actions required in the event of a fire and the routine testing of fire alarms. Ensure compliance with regulatory and statutory standards, including those set by the Care Inspectorate and the Scottish Social Services Council. Adhere to General Data Protection Regulations at all times.
