About the Role
We’re looking for an organised and proactive Administrative Assistant to join our clients existing team on a temporary basis for 5 months working 22.5 hours per week on set days of Monday, Tuesday and Wednesdays. In this vital role, you’ll help provide an efficient and effective administrative service and over the phone customer service which will involve speaking with a variety of external service providers within the public sector. This role requires exceptional organisational skills along with strong administration and customer service skills and experience.
What You’ll Be Doing
As part of our dedicated team, you’ll:
1. Be the first point of contact for telephone enquiries, resolving queries in a friendly and professional manner.
2. Manage diaries, schedules, and email correspondence to support the team’s day-to-day operations.
3. Handle general administrative duties including filing, photocopying, and collating information, responding to and sending emails.
4. Maintain accurate computerised records and databases, ensuring information is kept up to date.
5. Process invoices and prepare sundry debtor accounts for customer payments.
6. Manage equipment stock levels and assist with ordering and budget monitoring.
7. Support teams with arranging appointments
8. Build effective working relationships with colleagues and external agencies including councils, health trusts, and suppliers.
