The Role
We are looking for a Fertility Care Coordinator to guide patients through their treatment journey with clear information, timely coordination, and compassionate support. In this patient-facing role, you will be a primary point of contact—conducting informative appointments, coordinating schedules and tests, explaining treatment and financial options, and ensuring every patient experiences a seamless, supportive experience at BCRM.
Your Responsibilities
As a Fertility Care Coordinator, you will:
* Conduct first virtual visits and informative appointments, clearly explaining services, treatments, and procedures.
* Educate patients on treatment options and next steps, sharing resources that support understanding and informed decision-making.
* Explain payment processes, financial options, and (where applicable) insurance procedures; liaise with billing to resolve queries.
* Schedule consultations, investigations, treatments, and follow-ups in coordination with medical staff and patient availability.
* Communicate test results and treatment plans in a timely, compassionate manner, escalating clinical queries appropriately.
* Maintain accurate, up-to-date records of interactions, treatment plans, and documentation across electronic and paper systems.
* Act as the primary point of contact for patients, addressing questions and concerns with empathy and professionalism.
* Facilitate effective communication between patients and the clinical team.
* Offer emotional support and reassurance to patients, ensuring a personalised and compassionate experience.
* Create a welcoming and supportive environment during both virtual and in-person visits.
* Coordinate additional support services (e.g. counselling, financial guidance) and signpost patients as needed.
* Collaborate with colleagues across the multidisciplinary team to optimise patient flow and clinic efficiency.
* Participate in team meetings, contributing ideas to enhance patient care and service delivery.
* Stay updated on fertility treatment advancements and share relevant updates with patients and colleagues.
* Work with billing and finance teams to ensure accurate payment processing and resolve queries.
* Adhere to all relevant regulations, SOPs, and clinic policies, maintaining strict confidentiality at all times.
* Engage in ongoing training and professional development to build expertise in fertility care and patient support.

Essential skills and qualities:
* Excellent communication skills, written and verbal, with empathy and professionalism.
* Strong organisational and coordination skills; able to manage multiple patients and timelines.
* High attention to detail and accurate record-keeping.
* Confidence in handling sensitive conversations and knowing when to escalate.
* Proactive, adaptable, and comfortable in a fast-paced clinical setting.
* Strong IT skills (Microsoft Office – Excel, Outlook, Word, Teams) and confidence using clinical systems.
* A team player with a positive, "can-do" approach.
Desirable:
* Experience in patient coordination or a similar healthcare-facing role.
* Understanding of fertility treatments and patient pathways.

Education & Experience:
* A-Level or equivalent (required)
* Minimum 2 years' experience in patient coordination
