West Midlands Combined Authority (WMCA) is seeking a highly organised, proactive, and solutions-focused Personal Assistant to provide dedicated support to the Director of Bus Reform and deliver high-quality administrative assistance to the wider team.
The successful candidate will coordinate complex diaries, prepare high-quality meeting packs, take minutes, manage expenses, and ensure administrative processes run smoothly. They will also develop and maintain efficient office systems, streamline procedures, and build strong working relationships across departments.
The ideal candidate will have excellent written and spoken communication skills, strong interpersonal and team working skills, and experience of co-ordination, preparation, and support to meetings. They will be calm and professional, with the ability to effectively liaise with senior management and executives.
Responsibilities:
* Deliver proactive, timely, responsive, and high-quality PA support
* Build and maintain positive relations and open communication within the team
* Engage with the WMCA Business Support Team and provide a high standard of customer service to stakeholders and staff
* Provide and ensure that support and assistance is available for projects and services being implemented by the WMCA
* Manage, co-ordinate, and maintain Senior Manager calendars including meetings, appointments, and records
* Plan and co-ordinate associated travel and accommodation arrangements
* Receive, sort, and prioritise all incoming communications, mail, and email
* Manage and plan cover arrangements ensuring that sickness/holiday absences, lunch breaks, etc. are adequately resourced
* Ensure that all records and filing systems are maintained and kept up to date
Essential Criteria:
* Excellent written and spoken communication skills
* Strong interpersonal and team working skills
* Experience of co-ordination, preparation, and support to meetings
* A calm and professional manner, with the ability to effectively liaise with senior management and executives
* Ability to deal with difficult or sensitive situations tactfully and with diplomacy, always maintaining a high degree of confidentiality
* A flexible approach to work
* Ability to network effectively with external and internal contacts, including senior management, and maintain excellent relationships
* A good standard of education, including maths and English
