About the Role

We are recruiting for an Administration Assistant to join our Estates Team based at Mabgate Campus. You will play a vital role in supporting the smooth operation of Estates team by providing essential administrative support to the Estates team, acting as a key point of contact for internal and external stakeholders. Your organisational skills and attention to detail will ensure efficient management of communications, documentation, and day-to-day tasks that contribute to the overall effectiveness of the department.

What You Will Do

* Provide administrative assistance to the Estates & Campus Facilities management team.
* Serve as the initial point of contact for routine inquiries from various sources, including internal staff, contractors, consultants, and suppliers.
* Manage the Estates help desk system and associated processes, including generating standard system reports as needed.
* Develop and maintain the department’s filing, document storage, and retrieval systems, ensuring proper handling of confidential materials.
* Coordinate meetings for senior managers by sending invitations, resolving scheduling conflicts, preparing agendas, securing venues when necessary, and managing note-taking, approval, and distribution in collaboration with the meeting chair or organiser.
* Oversee departmental inventory, including ordering general stationery and pre-printed materials.


About You

* Must have a Literacy & numeracy qualification at Level 2.
* Previous experience of delivering exceptional customer service and administration.
* Experience of taking minutes, creating meeting agendas.
* Excellent communication skills both verbal and written.
* Must be able to use Microsoft Office and Google packages.
* Able to prioritise your own workload to meet deadlines set.
