Job Description:
Key Responsibilities
* Assist with the delivery of support services to the office, including reception, hospitality, switchboard queries, staff welfare, office maintenance, and partner support.
* Oversee reception, meeting rooms, and communal areas to maintain high standards.
* Ensure safety and security of visitors and staff, understanding first aid policies and reporting incidents.
* Manage security access passes with the security provider.
* Coordinate meeting room requests, ensuring layout, functionality, and catering are provided.
* Manage stock levels for stationery, refreshments, and catering within budgets.
* Support Property & Facilities team with maintenance activities, logging jobs, and following up.
* Handle purchase orders and invoices within budget areas.
* Coordinate activities for new starters and leavers, ensuring proper IT and workplace setup and asset return.
* Assist with direct deliveries queries.
Customer Service
* Provide excellent service to clients, acting as a "go-to" person.
* Assist with day-to-day issues, offering solutions and updates.
* Act as a point of contact between facilities, legal support, IT, and Finance departments.
* Collaborate to enhance client experience and meet KPIs.
* Support team flexibility and service delivery.
Communication
* Communicate regularly with management and staff at all levels.
* Have knowledge of Health and Safety procedures.
* Maintain professionalism with a positive attitude.
* Utilize electronic systems effectively to manage tasks.
* Suggest improvements and manage workload efficiently.
* Work independently under pressure and as part of a team.
* Pay attention to detail, meet deadlines, and communicate effectively.
