Role
We are seeking a Knowledge and Information Assistant to fully catalogue, label and organise a collection of highly sensitive records for the Children and Families directorate and assist in the delivery of the Modern Records Unit’s records management service. The role is based in a warehouse and involves physical handling and movement of boxes up to 15 kg and cages up to 180 kg. Manual handling training will be provided.
You will need prior administrative and customer service experience with strong office task, record management, and Microsoft Office skills, together with a commitment to data security and excellent customer service. You should be physically capable of handling records and materials and have a proactive approach to learning and effective communication.
Key responsibilities
* Assist in the cataloguing, labelling, organisation and delivery of records, providing welcoming, informed, and professional customer service
* Respond to routine written, telephone and face-to-face records management enquiries, or refer complex cases to a colleague
* Operate a PC to amend, manipulate and maintain spreadsheets, databases and other applications to keep records up to date
* Undertake general office duties such as filing, photocopying, routine scanning, maintaining the office diary, monitoring stationery, and mail handling
* Physically handle records to, from and within storage facilities and the office van (maximum 15 kg per item)
* Ensure facilities and records are maintained in an orderly fashion
What the client is looking for
* Administrative and customer service skills equivalent to NVQ Level 2
* Experience in core office tasks: taking messages, photocopying, printing from microfiche, and maintaining filing systems
* Proficiency in Microsoft Office (SharePoint Online, Outlook, Word, Excel) with a proactive approach to learning new tools
* Skills in cataloguing records and managing electronic and paper-based systems
* Strong attention to detail and ability to handle confidential data securely
* Excellent customer service and communication skills
* Physically capable of moving records and storage boxes up to 15 kg, with manual handling experience preferred (training provided)
