Receptionist/Administrator – Worcester

We have an excited opportunity for a receptionist/ Administrator to join our team in Pirton Grange Hospital Located in Worcestershire.
Pirton Grange is a specialist nursing home, supporting people over the age of 18 with a range of Neurological conditions such as dementia, Korsakoff’s syndrome, Huntington’s Disease, Acquired Brain Injury and physical health needs.
The successful candidate will support the management team to ensure effective administrative systems and process are implemented and followed. You will also be responsible for supporting the day-to-day administration and reception duties of the home to include manage incoming visitors and calls, redirecting individuals to the relevant person/team, following the appropriate policies and procedures, responsibility for petty cash and client monies including updating records and sending required information to Central Support teams/designated person responsible, Stock ordering and record keeping, Support recruitment processes as and when required, Recording and distribution of post and any other administrative duties as required, and using Rota management system.

Role Responsibilities
10. Provide comprehensive administrative support to the Home Manager and senior management team to ensure efficient day-to-day operations of the nursing home.
11. Maintain effective administrative systems and processes, ensuring compliance with internal policies, regulatory requirements, and confidentiality standards within a healthcare environment.
12. Act as the first point of contact for the nursing home, welcoming visitors, residents’ relatives, and professionals in a warm, professional manner, and managing incoming calls by redirecting enquiries to the appropriate staff member or department.
13. Manage reception duties, ensuring visitor logs, sign-in procedures, and safeguarding protocols are followed at all times.
14. Take responsibility for petty cash and residents’ monies, including accurate record keeping, reconciliation, and submission of required reports to Central Support teams or the designated finance lead.
15. Order, monitor, and maintain stock levels of office supplies and other approved items, ensuring accurate records are kept and cost-effective purchasing practices are followed.
16. Support recruitment activities as required, including arranging interviews, preparing documentation, onboarding administration, and liaising with HR and management teams.
17. Receive, record, and distribute post and deliveries in a timely and confidential manner.
18. Use the rota management system to input, update, and maintain staff schedules as required, ensuring accuracy and supporting effective workforce planning.
19. Maintain accurate electronic and paper records in line with data protection and confidentiality requirements.
20. Undertake any additional administrative duties necessary to support the smooth and safe running of the nursing home.
you will have previous administration/ reception experience and the ability to work using your own initiative in a methodical manner. You will be an excellent communicator with strong IT skills.
Hours: 40 to be worked flexibly to meet the needs of the service
