Vacancy: Property Services Works Coordinator Closing date: Thursday 16 October 2025 Shortlisting: Friday 17 October 2025 Proposed Interview date: Thursday 23 October 2025 Salary: £28,765.62 This is a 6 month fixed term contract About the vacancy: Are you a confident administrator with experience in planning maintenance and repair works? We are looking to hire Property Services Works Coordinator to provide essential comprehensive administrative support to the Surveying team. This will include handling disrepair, damp and mould cases, and Environmental Health claims. This role ensures the smooth, accurate, and efficient management of case records, communication, and data processing in compliance with organisational standards and regulatory requirements. Specifically, in the role you will: Provide comprehensive administrative support service to the Surveying Team which includes raising orders, taking minutes/notes, producing letters, and mail-merges, scanning, and filing of project documentation within the relevant project folders. Log, track, monitor, manage and maintain accurate case records for disrepair and damp and mould cases. Process and manage environmental health claims from initial receipt through resolution/case completion. Attend and arrange meetings with internal and external stakeholders assisting in the preparation of meeting agendas, minutes, key performance indicators and any other relevant documentation. Maintain and update project management spreadsheets to support track of project spend and provide updates to the maintenance team as and when required. Order required works through the internal housing maintenance repairs system by raising works orders and associated purchase orders ensuring the correct coding structures are applied. Reconcile invoices received to the associated works orders checking with Project Surveyors that the works instructed have been completed. Monitor and respond to queries raised via the group email accounts ensuring queries are dealt with in a timely manner also advising surveyors of issues raised. Assist with correspondence and complaints received from tenants, internal and external customers (face to face / telephone) ensuring that issues raised are always dealt with effectively. Ensure the Assets and finance teams are provided with project completion data in a timely way to enable the asset database to be kept up to date. Assist in the preparation of reports and case summaries for management and external agencies. Provision of cover for team members during periods of leave/holidays ensuring business continuity through responding to queries via the team email accounts ensuring queries are dealt with efficiently. Play an active role in developing team relationships both internally and externally to ensure a coordinated project management approach to the delivery of the allocated projects.
